Position Summary:
The Clinic Administrator plays a vital role in ensuring the efficient and effective operation of the clinic, specializing in Massage Therapy and Manual Osteopathic Therapy. The ideal candidate will have experience in internal placement, managing high-volume calls, and performing administrative tasks while providing robust support to the Clinic Manager.
Key Responsibilities:
Front Desk Management:
- Serve as the first point of contact for patients, ensuring a welcoming and professional atmosphere.
- Handle high-volume incoming calls, directing them appropriately and managing inquiries.
- Schedule appointments and manage the clinic's calendar to optimize student scheduling and instructor availability.
Administrative Support:
- Perform administrative duties such as filing, record keeping, data entry, and patient and student confidentiality.
- Prepare and process Student forms, insurance claims, and billing statements.
- Coordinate with instructors and students to ensure smooth clinic workshops.
Internal Placement:
- Manage internal placement for practicum, ensuring optimal scheduling for students and instructors.
- Coordinate with instructors to understand their schedules and availability, making necessary adjustments, as required.
Student Relations:
- Address concerns and inquiries promptly and professionally.
- Ensure a high level of student satisfaction by providing exceptional customer service and maintaining clear communication.
- Collect and record feedback to improve clinic services and student experience.
Support to Clinic Manager:
- Assist the Clinic Manager with daily operations, including reporting, inventory management, and student and or instructor coordination.
- Help organize meetings, training sessions, and clinic events.
- Provide backup support for the Clinic Manager as needed.
Office Management:
- Maintain office supplies and ensure the clinic is well-equipped and orderly.
- Oversee the cleanliness and organization of the reception area and treatment rooms.
- Handle correspondence, mail, and courier services.
Qualifications:
Education:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in healthcare administration, business administration, or related field preferred.
Experience:
- Proven experience as a clinic administrator, office manager, or similar role in a healthcare setting.
- Experience managing high-volume calls and patient scheduling.
- Familiarity with Massage Therapy and Manual Osteopathic Therapy is an asset.
Skills:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office (Word, Excel, Outlook) and healthcare management software.
- Ability to handle sensitive and confidential information with discretion.
Working Conditions:
Physical Requirements:
- Ability to sit, stand, and walk for extended periods.
- Ability to lift and carry office supplies and equipment up to 20 pounds.
Work Environment:
- This job operates in a professional healthcare clinic environment.
- The role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
