Position Overview
The Assistant Manager, Library, Administration and Building Services supports the efficient functioning of BCNU’s administrative, library, membership and building services operations. Reporting to the Manager, Library, Administration and Building Services, this role is integral to ensuring that services, staff, and systems operate smoothly and effectively. The Assistant Manager works closely with the Manager to lead, supervise, and support a multidisciplinary team while also contributing to strategic planning, operational oversight, and service excellence.
This position is part of a succession planning strategy and supports the long-term sustainability and knowledge transfer within the department.
Key Responsibilities
Library Services Support
- Assist with the development and maintenance of library policies, records management, and user support tools.
- Support users (members and staff) in accessing print and electronic resources; provide instruction on BCNU access catalogues and tools.
- Aid in maintaining cataloguing systems and recommending acquisitions.
- Support the preparation and monitoring of the annual library budget.
- Assist in managing library holdings, subscriptions, and database records.
- Coordinate day-to-day operations of reception, mailroom, print room, file room, administrative floats, and membership department.
- Provide backup leadership and support across administrative areas, ensuring service delivery standards are met.
- Monitor and maintain internal administrative processes, including document retention and off-site storage systems.
- Contribute to planning, scheduling, and staff coverage for departmental needs.
- Participate in the development of staff job descriptions and support the recruitment process.
- Assists with supervising administrative staff, including probation and performance reviews, and addressing performance concerns through coaching, training and disciplinary methods as required.
- Assist with the assessment of departmental workloads and timelines to ensure service efficiency.
- Assists with planning and scheduling relief staffing as necessary. Coordinates relief staffing and approves vacation and time-off requests in consultation with the Manager.
- Support building security systems and liaise with service providers and contractors as required.
- Assist in overseeing maintenance schedules, and the coordination of building-related services.
- Oversees the operation and service of the dividing walls in respective meeting rooms.
- Assist with the administration of the Pacific Blue Cross Supplemental Mental Health Plan.
- Perform other related duties as assigned by the Manager.
An equivalent combination of education and related experience may be considered.
Education and Professional Certifications
- Certification or training in library systems, document management, and/or facilities management.
- 3–5 years of experience in an administrative or coordination role involving staff supervision, library operations, or building services.
- Experience supporting a unionized workplace is considered an asset.
- Knowledge of building maintenance, facility scheduling, and security systems.
- Familiarity with document retention and records management protocols.
- Experience with library cataloguing and database systems preferred
- Strong initiative, integrity, and accountability.
- Excellent verbal and written communication skills.
- High attention to detail with strong analytical and organizational abilities.
- Ability to adapt to shifting priorities and work under pressure.
- Comfortable working both independently and collaboratively.
- Maintains confidentiality and exercises discretion in sensitive matters.
