The Position
Job Title: Administrative Support/Receptionist
Job Type: Part-time, Tuesday and Wednesday evenings from 4:00 pm to 8:00 pm
Work Arrangement: Office Based
Position Overview
The Administrative Support position plays a key role in ensuring the smooth and efficient operation of Kindred during evening hours. Reporting to the Administrative Support & Payroll Coordinator, this role supports administrative and clerical workflows and contributes to a positive and welcoming environment for clients, staff, and visitors.
The Administrative Support position is responsible for a range of general administrative tasks, including answering phones, greeting and assisting clients and guests, processing payments, supporting file management projects, and providing overall office support to the administrative team.
This is a part-time position, scheduled for Tuesday and Wednesday evenings from 4:00 pm to 8:00 pm.
Accountabilities
Key Responsibilities:
- Answer and direct phone and email inquiries
- Greet, refer, and assist clients, staff, and visitors to the Agency
- Process payments and assist with client parking coordination
- Ensure guests’ comfort, including providing refreshments
- Maintain a tidy and professional reception area
- Shred closed hard-copy files and update tracking spreadsheets
- Assist with the file project by accurately sorting and labelling according to the Agency’s established procedures, ensuring they are properly indexed;
- Support various administrative projects, correspondence, and initiatives as required
- Perform other duties as assigned
Qualifications
Education and Experience
- High school diploma or equivalent required;
- Previous customer service experience is an asset.
Knowledge, Skills and Abilities
- Exceptional customer service orientation with strong oral, written and interpersonal communication skills;
- Proficient in Microsoft Office Suite and Adobe, demonstrated ability to learn and adapt to new software;
- Excellent attention to detail and accuracy;
- High level of initiative with the ability to respond proactively to emerging needs;
- Strong organizational skills with the ability to multitask and prioritize effectively;
- Sound judgment and discretion in handling confidential information.
