Employee and Labour Relations within People and Culture is currently seeking a Full-time Limited Term Administrative Coordinator for approximately 6 months.
The Administrative Coordinator reports to the Director, Employee and Labour Relations. The position will provide direct administrative and project support to the Labour Relations team within People and Culture.
The Administrative Coordinator position requires handling of confidential and sensitive material, as well as working in an environment with shifting priorities and continuous change. This position requires an individual who is willing to take initiative in order to come up with creative and proactive solutions related to administrative tasks. This position will also use professional judgment and work independently.
Summary of Key Responsibilities (job functions include but are not limited to):
- Organize, digitize, file, and archive records, using consistent formats and structures.
- Upload and manage data in the university's grievance management database with accuracy and attention to detail.
- Maintain records that are accurate, complete, reliable, and comply with FOIP obligations and institutional standards.
- Support continuous improvement by updating process documentation and sharing learnings.
- Prepare documents, reports, and presentations using Microsoft Office Suite.
- Schedule meetings, distribute materials, and take minutes as needed.
- Provide administrative support for various labour relations projects and deliverables.
Qualifications / Requirements:
- Post-secondary certificate in Office Administration (or equivalent)
- Minimum 2 years of relevant experience.
- Experience in a university, education, or public sector environment is considered an asset.
- Proficient in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and SharePoint.
- Advanced Excel skills, including data manipulation, pivot tables, and formulas.
- Experience with PeopleSoft is an asset.
- Excellent communication skills (written and verbal).
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- High level of discretion, confidentiality, and attention to detail.
- Ability to work independently and as part of a collaborative, high-performing team.
- Proactive and solutions-oriented approach to completing tasks.
