Overview:
Directors Guild of Canada Maritimes Regional Council (DGC Maritimes) exists under the umbrella of the Directors Guild of Canada, an interprovincial film labour organization. Regionally, we represent more than 200 key creative and logistical personnel working in the screen-based industries in the Provinces of Nova Scotia, New Brunswick and Prince Edward Island. The Maritimes Regional Council office is based in Halifax, Nova Scotia.
DGC Maritimes' team includes our Executive Board, Members, and Staff working together to accomplish our goals, maintain our focus, execute our strategy, and observe our values.
The Opportunity:
Are you an energetic, organizational person, who loves the tv and movie business?
We are looking for an Administrative and Communications Assistant who is experienced using Google Chrome, Word (Doc, Excel and Power Point), and Adobe, and familiar with (or willing to learn) online platforms such as Mailchimp, and Eventbrite. The ideal candidate is friendly and professional, has excellent written and verbal communication skills, and is able to work 25 hours a week between Monday to Friday, with one mandatory work day being Friday. Ability to speak some French is an asset.
This a permanent, part-time, in-person position, located on the Halifax waterfront in the Old Brewery Market building, and calls for someone who is committed, confident, and understands confidentiality. The position offers flexibility in the working hours and days of the week and will be discussed and negotiated with the successful candidate.
The job of the Administrative and Communications Assistant is about supporting the needs of an organization which prioritizes its members. It requires both the diligence to get tasks done in a timely manner, and the flexibility to turn-on-a-dime as demands within the local film industry shift. The DGC Maritimes office consists of a small staff that oversees a wide-range of duties and responsibilities; all in service of the well-being, growth, and strength of our membership.
What you bring to this role:

- Excellent interpersonal and communication skills; both written and verbal. (Basic proficiency in French is an asset, but not required)
- Ability to follow direction, work as a team, and demonstrate initiative

- Discretion and judgement to handle confidential information and material appropriately
- A friendly rapport and tact when interacting with Guild members and industry associates
- Experience using the Microsoft suite of applications (Word, Excel, and PowerPoint)
- Familiarity with Zoom online meeting platform
- Experience creating, re-posting, and sharing social media content (Facebook, Instagram, and LinkedIn)
- You are comfortable learning new software platforms such as Mailchimp, and Eventbrite.
- You have a Business or Office Administration Diploma, or two-years relative work experience.
What you’ll be doing
- Acting as the first point-of-contact for DGC Maritimes, and as such, greet, welcome, and assist all visitors in-person, by phone, or electronic correspondence
- Answering, screening and forwarding incoming phone calls as appropriate
- Responding to or forwarding general inquiries received by both email and physical mail
- Preparing and sending mail-outs and courier packages as necessary
- Filing of both paper and electronic documents
- Coordinating staff calendars (Gmail calendar)
- Maintaining up-to-date Gmail group contacts and members' lists
- Keeping an accurate office supply inventory, and ordering replacements as needed in consultation with Senior Staff
- Creating content for and publishing DGC Maritimes' weekly Newsletter using our Mailchimp account
- Creating content for and administering DGC Maritimes' social media accounts
- Supporting the DGC Maritimes’ Senior Staff with clerical duties including: document creation, data compiling and data entry, creating and distributing surveys and Doodle polls, research and information gathering, creating events and training registration (Eventbrite), in-person event planning and execution, assisting with in-person and online meetings for staff, board, and Guild members, facilitating online training via Zoom and/or in-person training sessions, and executing office-related errands
- Other related administrative duties as deemed necessary
Salary Range
- $21.00 /hour
Working Hours
- The DGC Maritimes office is open Monday to Friday, 9AM to 5PM
- 25 hours a week within office operational hours, Friday's mandatory.
