The mission of the Department of Languages and Cultures is to prepare our students to learn and understand the different world cultures and languages. Our main purpose is to teach our students the need to be culturally and linguistically prepared to function in our global, multicultural, and multilingual interconnected societies.
Responsibilities
The Undergraduate Assistant is responsible for supporting the effective and efficient administration of the undergraduate programs within the Department of Languages and Cultures, under the direction of the Undergraduate Program Chair. The role will act as a first point of contact and will provide information to students regarding admission processes, progression requirements, program eligibility, course selection, examinations and graduation requirements. The Undergraduate Assistant will act as a resource for faculty members, students, prospective students, parents, and the public providing guidance regarding University and faculty and departmental policies and procedures in response to inquiries, and providing referrals to other individuals or resources as required. The role will provide administrative assistance to leaders and committees, create and maintain student records, assist with generating data for reports, maintain and update program websites, facilitate undergraduate student award and scholarship processes, and assist the development of print materials for student recruitment activities.
Qualifications
Education:
- 2 year Community College Diploma in Business Management/Administration
Experience:
- 2 years of experience providing administrative support and customer service in an academic environment
Knowledge, Skills & Abilities:
- Verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience
- Demonstrated ability take initiative, to work independently and follow through on work assignments
- Ability to apply active listening to hear and understand the complete message being communicated
- Competency to maintain confidentiality and treat sensitive information with discretion
- Ability to establish rapport with people from diverse backgrounds
- Demonstrated ability to understand and resolve external and internal partner issues

- Ability to work independently and effectively as a member of the team to achieve department goals
- Intermediate proficiency required in Microsoft Office (Word, Excel, Outlook, PowerPoint) in order to prepare emails, announcements, and to input data into spreadsheets and databases
- Familiarity with software applications used by Western preferred – e.g. OWL, Cascade, PeopleSoft
- Familiarity with academic calendar and programs offered at Western preferred
- Familiarity with Western policies and guidelines preferred
