We are looking for a Booking Agent to join our team this summer! Our Booking Agents are the first point of contact for customers and work with part of a team to ensure they have the experience of a lifetime. We consistently provide outstanding service by focusing on each guest's unique needs, proactively anticipating areas of concern and providing informed descriptions and recommendations on our Tours and Rentals. The smooth coordination of tours and rentals from the initial inquiry to signing waivers and final payments is facilitated by our Booking Agent team. They must possess a positive and upbeat personality with a desire to deliver outstanding customer service to our guests. The Booking Agents must have the ability to multi-task, be detail-oriented, and be able to problem-solve in order to effectively deal with internal and external customers.
JOB DUTIES BOOKING AGENTS
- Guest Reservations: Manage inbound inquiries, process bookings, and ensure accurate reservation details through multiple booking systems.
- Record Keeping: Maintain accurate booking records and guest profiles in the company’s database, ensuring all information is up to date.
- Customer Communication: Provide pre-trip/rental information, including booking details, protocols, and equipment requirements.
- Scheduling and Coordination: Coordinate tour/rental/delivery schedules, ensuring smooth logistics for both customers and staff.
- Payment Processing: Handle payments, send confirmations, and track deposits and balances, including end-of-day balancing tasks.
- Client Support: Respond to customer questions and concerns via email, phone, and in person, maintaining a friendly and professional tone.
- Products and Procedures: Maintain thorough knowledge of all job-related aspects – products, policies and procedures.
- Inventory Management: Handle and keep track of extensive inventory of machines and gear.
- Tour Customization: Work with clients to customize private tours or special requests, ensuring an exceptional experience. Creating a memorable guest experience and exceeding expectations.
- Tour Check-In Greet guests as they arrive, confirm their booking details, and verify required documentation (waivers, damage deposit, payments). Ensure guests have the appropriate gear and are fully prepared for the tour.
- Tour Return: Receive back all gear given out and hang up to dry, ensuring equipment is safe and ready for the next group. Handle any damage reports and invoicing according to company policy.
- Teamwork and Communication: Strong communication with the whole Great Canadian Tours and Full Speed Rentals team, maintaining a fun, supportive and positive workplace.
- Other tasks: Help out other departments and perform other reasonable tasks as assigned.
Qualifications and Skills
- High School Diploma, GED or higher
- Completion of a two-year apprenticeship program, or college education in tourism preferred
- Experience in customer service
- Strong organizational skills, with attention to detail
- Experience with motorsports not necessary but an asset
- Ability to work in a fast-paced dynamic environment, multitasking
- Ability to analyze and interpret the needs of clients to accommodate them with the best tour option possible
- Ability to work as part of a team
- Effective communication internally and externally
Work Conditions
- Ability to lift up to 30 pounds
- Regular physical activity including walking, standing, sitting, lifting, kneeling and working outside
- Overtime and weekends as required
