Student Services within Student Experience and Support is currently seeking a Full-time Regular Specialist, Student Conduct and Conflict Management.
Reporting to and working closely with the Manager, Student Conduct Office, the Specialist works to facilitate resolution to complaints of alleged student non-academic misconduct. The Specialist is also responsible for supporting education, and programming efforts related to building skills and capacity for the campus community in resolving conflict.
The Specialist works effectively with a high level of independent judgment and initiative, in addition to tact, diplomacy and ethical decision making in working through complaint processes with campus community members. The ability to work with others when a team approach is necessary, to work independently, and to productively engage with the campus community is critical to the success of this role.
Summary of Key Responsibilities (job functions include but are not limited to):
- Responsible for all aspects of case management, including intake interviews, drafting notice of investigation and notice of hearing letters, applying interim measures, serving as hearing officer, writing comprehensive decision letters, assigning and following up on sanctions, communication with involved parties as required, and maintaining accurate records.
- Provide expert advice and consultation to senior members of the university community (both faculty and staff) in resolving non-academic student conduct concerns.
- Advise complainants on available processes to resolve complaints. In highly complex cases, the Specialist will work closely with the Manager, Student Conduct Office and may consult with the Assessment and Care Team or other staff responsible for responding to and supporting students through incidents of misconduct.
- Ensure their own investigations follow Student Non-Academic Misconduct Procedures, and draft comprehensive investigative reports.
- May be called as a Respondent to any appeals that proceed through the University Appeals Committee or University Appeals Tribunal.
- Serve as a resource to students and staff with questions about process and policy related to the student non-academic misconduct policy and related institutional policies.
- Develop strong partnerships and regularly liaise with key partners, including Campus Security, Legal Services, Student Wellness Services, the Assessment and Care Team, the Sexual and Gender Based Violence Prevention and Support Office , Student Accessibility Services, the Student Ombuds, the Students' Union and the Graduate Student Association, the Protected Disclosure and Research Integrity Office, and People and Culture.
- Contribute to the Student Non-Academic Misconduct Policy annual report, in addition to other annual reporting requirements.
- Collect and maintain data related to the community training and programming offered, as well as other operational statistics that are helpful for the purposes of improving and streamlining the office's operations
Qualifications / Requirements:
- An undergraduate degree is required, a Master's degree in a relevant field (education, social work, public policy, conflict analysis) is preferred
- Three years of progressive and increasingly complex professional experience working in the field of student conduct case management, student affairs, policy administration, or discipline in a post-secondary education setting (or related environment) is required.
- Experience and related training/education in investigation and adjudication, threat assessment, trauma-informed practice, procedural fairness and natural justice, conflict management and restorative practices is required.
- Experience working within the confines of institutional policies, procedures and requirement in addition to legislative requirements such as the Protection of Privacy Act (POPA) is required;
- Strong sense of professionalism and ability to effectively and professionally communicate with individuals at all levels of the University (students, staff, management, senior administration), including the ability to handle sensitive and confidential materials appropriately.
- Experience managing conflict, criticism, and contentious issues.
- Strong and effective communication, both written and oral.
- Experience with documentation management (including electronic documents).
- Experience working with case management database (Maxient, StarRez, Simplicity etc) strongly preferred.
- Ability to effectively provide difficult or challenging advice and/or counsel to others.
- Demonstrated experience with planning, implementing and facilitating successful training and development programs is required.
- Demonstrated experience in working with students in both formal and informal settings.
- Knowledge and understanding of assessment and evaluation practices in student affairs.
- Ability to effectively prioritize, work independently and under pressure, and meet strict and multiple timelines.
