Position Summary: The Sales Coordinator is responsible for supporting the Resort’s sales team by processing leads, preparing proposals and agreements, and coordinating and finalizing all group and catering details for confirmed contracts. The Sales Coordinator will develop effective client relationships, assist with the administrative functions of the sales department and is aware of all sales and marketing activities at the Resort.

Pay for this position is $22.00 - $25.00 per hour.

Major Duties and Responsibilities:

  • Process leads, prepare and send out accurate proposals and agreements.
  • Maintain and adhere to function space booking guidelines and group booking approval process.
  • Supports sales and banquets team in obtaining contract confirmation/signatures.
  • Coordinate and finalize all group and catering details for confirmed contracts.
  • Manage the Banquet Event Order (BEO) process with clients and internal departments.
  • Accountable for the accuracy and delivery of BEOs and other required documents to clients in a timely manner.
  • Obtain and input all group guest rooming lists into the hotel management system.
  • Booking, preparation and sending of tour bus group contracts and obtain confirmation/signatures.
  • Work closely with the Front Desk, Reservations, Banquets and other required departments to completely satisfy the requirements of the booking parties and the Resort.
  • Provide after-sales support to clients when needed.
  • Assist other sales staff during periods of absence.
  • Respond quickly to client requests in a professional and courteous manner.
  • Co-operate and accept other assignments from the Director of Sales & Marketing as and when required.

Minimum Qualifications & Skills

  • Minimum two years work experience as hospitality sales coordinator
  • An undergraduate degree from an accredited university, college or hotel school will be considered an asset, or equivalent level of experience.
  • Excellent organizational skills and the ability to manage concurrent deliverables, prioritize own workload, and work constructively and effectively with others to achieve designated outcomes. Is equally comfortable taking initiative and taking direction.
  • Excellent oral and written communication and interpersonal skills. Professional demeanor and appearance, approachable and open-minded, with a continuous improvement and solution focus.
  • Positive team player with a can-do attitude who can thrive in a fast-paced business environment.
  • Proactive approach, with exceptional analytical and problem-solving abilities to ensure the highest levels of productivity and guest satisfaction.
  • Demonstrated ability with regard to computer skills, including a high level of Microsoft Office Word, Excel, Power Point, and Outlook. Experience with hotel and catering software will be considered an asset.
