Main Duties
Reception:
- Answer and direct phone calls following standard operating procedures (S.O.P.).
- Provide general support to visitors with a welcoming attitude.
- Manage our phone system (Telus Business Connect) efficiently.
- Keep employee phone lists updated and distributed as needed.
- Sort and distribute incoming mail promptly.
- Arrange travel and hotel accommodations for staff members.
- Schedule regular maintenance for office equipment and maintain records.
- Monitor and request funds for postage meter usage.
- Place weekly orders for office supplies according to S.O.P.
- Manage Edmonton employees coveralls efficiently.
- Scan and save documents on the server for easy access.
- Maintain the "Employee time off" calendar accurately.
- Undertake any other duties assigned from time to time.
Time Entry:
- Enter and verify time sheet information daily following S.O.P.
- Ensure accuracy of all entries at the end of each pay period.
- File daily time sheets promptly and organize them into employee folders post-biweekly payroll processing.
-Keep track of employees' sick days as per company policy.
Accounting:
- Reconcile hotel bills and enter invoices into the system following S.O.P.
- Assist customers with credit card payments when necessary.
- Support fixed assets management, including registration renewals.
- Provide assistance in various operational areas as requested by the controller.
