Description

The Libin Cardiovascular Institute in the Cumming School of Medicine invites applications for a Project Coordinator. This Full-time Fixed Term position is for approximately 1 year (based on length of grant funding), with the possibility of extension.

Reporting to the Research Manager, Precision Medicine Initiative of the Libin Cardiovascular Institute, this position requires independent work, decision making, time management, and superior organizational skills. It is dynamic and has a broad scope that requires a diversity of skills and experience. The Libin Precision Medicine Initiative (LPMI) is dedicated to supporting the membership of the Libin Cardiovascular Institute and advancing the field of precision medicine for cardiac research and care. The nature of the team and position require creative problem-solving, and the ability to adapt to changing circumstances and navigate competing priorities. The position requires initiative, confidence, and the ability to work with a diversity of stakeholders at multiple institutions and in both clinical and research environments.

The Program Coordinator is accountable for developing support materials and documents for key Initiative activities, coordinating advisory groups, drafting research protocol and ethics modifications, and the delivering on the design for implementation, execution, and evaluation of our flagship Clinic Project. The Project Coordinator will be involved in several key projects with the ability to manage time effectively and provide various levels of support depending on the nature of each project. The position requires professionalism, the ability to exercise a degree of high confidentiality, and some discretionary decision-making which impact programs and internal processes and deadlines.

Summary of Key Responsibilities (job functions include but are not limited to):

Project Coordination:

  • Support the Research Manager in the implementation, expansion, tracking, and reporting of the PULSE Clinic Project
  • Manage established RedCap workflows, monitor and assess ongoing activities, and make changes as necessary
  • Maintain REB renewals and draft modifications, as needed, to incorporate new collaborators, implementation needs, updated data management processes, or additional survey modules
  • Provide support to clinic staff, as needed, for patient recruitment activities
  • Attend clinic stakeholder meetings and coordinate implementation plans for new clinic sites and expansion of the project to all cardiac clinics
  • Be the primary contact person and liaison for patient inquiries about participation, or changes to participation, in the PULSE project
  • Coordinate development and implementation of patient focus groups, including collaboration with the Libin Operations team, SPOR Patient Engagement team, and other university and local resources
  • Act as a key contact and support for clinic staff and clinicians to implement data collection tools and workflows that facilitate the uptake of the solution in the clinical environment

Collaboration & Engagement:

  • Provide a supportive role with the advisory groups of the LPMI Medicine Initiative, particularly the Data User and Scientific Advisory Groups and assist with other advisory activities as needed
  • Assist the Research Manager in expanding and maintaining project intake process for Libin members who require analytic or data services and facilitate the delegation, tracking, and reporting of project support services with the designated analysis resource team
  • Communicate and collaborate with diverse stakeholders including clinicians, researchers, analysts, people with lived experience, and senior administrative leaders

Qualifications / Requirements:

  • Minimum Bachelor Degree in a relevant field, such as health science, research, data science / analytics, knowledge translation or related field. Masters preferred
  • 3-5 years of demonstrated experience working in a project support or coordinator role with research experience or relevant experience in a clinical or project setting
  • Knowledge and ability to develop, coordinate, and execute robust project plans
  • Excellent written and verbal communication skills, strong time management, analytical and interpersonal skills
  • A high level of flexibility and ability to adapt to changing workloads and priorities
  • Must maintain and respect the confidential nature of the work
  • Able to learn quickly and work independently
  • Strong knowledge of Microsoft applications (Word, Excel and PowerPoint), and University applications
  • Sound decision-making capabilities and the demonstrated ability to collaborate within a team while also maintaining strong relationships with stakeholders, researchers, research teams, clinicians, and other key personnel in the research and clinical environments
  • Demonstrates excellent organizational and multi-tasking skills
  • Demonstrates tact and diplomacy at all times
  • Knowledge or experience in data use for research is an asset
  • Familiarization with Office 365, project management software, IRISS, etc.
