Position Summary
The Project Coordinator supports the overall maintenance and operations of multiple properties, with a focus on coordinating capital and maintenance projects, energy initiatives, property condition assessments, and general property support. This role manages vendor relationships, ensures contractor accountability, supports suite turnovers, assists with budgeting, and tracks progress on large-scale projects.
Key Responsibilities
- Coordinate and track maintenance work, preventive maintenance, repairs, and capital projects.
- Assist in planning and managing energy efficiency and sustainability initiatives.
- Prepare and maintain property condition reports, documenting maintenance needs and capital requirements.
- Obtain, evaluate, and coordinate quotes from vendors/contractors for major projects.
- Support suite turnovers, coordinating repairs, inspections, and vendor work.
- Assist with budgeting for maintenance operations, capital projects, and energy initiatives.
- Communicate effectively with internal teams, vendors, contractors, and tenants.
- Monitor project progress, timelines, and budgets in collaboration with the Director of Maintenance Operations.
- Ensure contractors comply with Preventive Maintenance Agreements (PMAs) and are held accountable.
- Review inspection reports, deficiency lists, and maintenance findings, ensuring timely resolution.
- Maintain records of maintenance activities, energy consumption, and project outcomes.
- Ensure compliance with health, safety, and regulatory standards.
- Support continuous improvement initiatives and identify cost-saving opportunities.
Qualifications
- Minimum 2 years’ experience in project coordination, maintenance coordination, property, or facilities management.
- Experience coordinating large projects and managing vendors.
- Knowledge of energy efficiency initiatives, building systems (mechanical, electrical, HVAC), suite turnovers, and PMA compliance considered an asset.
- Strong organizational, multitasking, and time management skills.
- Excellent communication and interpersonal skills.
- Proficiency with property management/maintenance software (e.g., Yardi, MRI, Building Engines).
- Ability to work independently, prioritize tasks, and meet deadlines.
Working Conditions
- Primarily office-based with frequent property visits.
- Ability to respond to urgent maintenance issues outside of business hours when required.
