Project Coordinators keep the operational engine running. You’ll make sure the details and logistics that support great outcomes are consistently managed. This role brings structure, consistency, and operational rigor to every stage of a project. From setting up tools and coordinating resources, to tracking financials and wrapping up handovers, you’ll be key to ensuring projects run smoothly and teams stay supported.
What You’ll Do:
- Set up project tools, folders, templates, and permissions (Figma, Jira, Notion, Miro)
- Schedule recurring meetings and project ceremonies
- Confirm resourcing plans, track PTO, and flag gaps to leadership
- Review timesheets and update Retainer trackers with actuals
- Support contractor onboarding/offboarding and manage travel logistics
- Contribute to project reporting and status updates
- Facilitate retrospectives and track action items
- Prepare completion reports, file repositories, and archive project assets
- Support marketing and internal teams with case study content
Requirements:
- Strong organizational skills and attention to detail
- Clear communication skills across formats and audiences
- Interest in working with cross-functional teams and a collaborative mindset
- Familiarity with user research, design, and engineering workflows
- Comfort with project management tools (Jira, Notion, Figma, Miro)
- A solid understanding of project management principles and best practices
Nice to haves:
- Experience with travel or on-site logistics
- Exposure to agile ceremonies and retrospectives
- Experience contributing to case studies or project documentation
The salary range for this role is $50,000–$60,000 CAD per year, depending on experience and qualifications.
