The Program Manager provides overall management and drives the successful execution of complex, cross-functional programs of Smile’s core product line to align with the organization’s strategic objectives. This role will oversee the ongoing reporting and coordination of milestones, deliverables, deadlines and budgets, creating and maintaining communication and decision processes across the program to ensure program success.

Responsibilities:

  • Fully manage core product line project(s) by ensuring a clear and defined project plan is appropriately established, defining project scope & objectives, and resource planning.
  • Define program goals, objectives, scope, deliverables and timelines as well as develop and maintain detailed program plans, schedules, and resources.
  • Own and actively manage the relationship and communication with internal and external customers and stakeholders, ensuring the project is delivered to their satisfaction.
  • Identify, assess, and mitigate program risks by developing and maintaining contingency plans and taking proactive measures to address challenges and roadblocks.
  • Contribute to the development of customer contracts and statements of work as well as support the efforts for RFPs, as needed.
  • Define resource requirements and managing resource availability & allocation – both internal and third party.
  • On an ongoing basis, conduct a review of the people resources and skills required to properly and effectively complete each stage of a project.
  • Accountable for ensuring that the right people and skills are identified and assigned to the project(s) / program well in advance of the deliverable or goal.
  • Provide regular program status updates to leadership, highlighting key achievements, risks, challenges, and mitigation efforts and solutions.
  • Accountable for escalating any performance concerns impacting project performance and success to leadership and ensure corrective actions are in place.
  • Lead post-delivery retrospectives to review program performance and identify areas of success and areas of improvement.
  • Develop and implement best practices and process improvement to increase efficiency and program success in the future.
  • Accountable for the correct hours tracked and logged against the projects, and must reject or adjust any hours submitted that are not entered correctly by the project team.
  • Accountable for ensuring that all working hours are accurately reported in the time tracking system on a daily or weekly basis, that the majority of (if not all) hours are tracked as billable and that the project management tool is properly and fully utilized.
  • Provide, maintain, and validate budgetary forecasts and estimates against defined milestones.
  • Provide weekly and regular reporting to the required internal management or teams, as to the status, activities, risks, deliverables, etc.
  • Ensure accurate data for project dashboards and other reporting requirements.
  • Comply with the privacy, security and confidentiality policies.
  • Hold all confidential information in trust and strict confidence and ensure that it shall be used only for the purposes required to fulfill employment obligations, and shall not be used for any other purpose, or disclosed to any third party. A breach of policy or misuse of information could result in disciplinary action up to and including termination of employment.

Requirements:

  • 8+ years of relevant experience in project and/or program Management with complex and multiple projects. Experience in the healthcare technology industry, an asset.
  • Bachelor's degree in Computer Science, Engineering, Business Administration, or a related technical field and/or equivalent work experience.
  • Experience managing concurrent and complex technical projects with multiple and often overlapping priorities.
  • Demonstrated expertise in using program and/or project management tools and software.
  • Demonstrated ability in risk identification and management, resource allocation, and budget management.
  • Strong analytical and problem-solving skills, with a data-driven approach to decision-making.
  • Exceptional organizational, planning and coordination skills.
  • Excellent collaborative skills working with various technical and non-technical cross-functional teams.
  • Exceptional communication (written and verbal), interpersonal, and presentation skills, with the ability to articulate complex technical concepts to both technical and non-technical audiences.
  • In-depth knowledge of emerging IT healthcare trends and technologies and previous experience in a healthcare setting, preferred.
