Summary:

SHARE is recruiting for its casual pool. Each month, a few shifts (4 hr minimum) are offered for coverage by casual staff. Shifts are awarded to interested staff on a seniority basis.


Start date: Immediately

Location: Various SHARE sites in Coquitlam and Port Moody

Hours: Business hours vary for each site, Monday – Friday. Day time and evening shifts will be available.

Classification/Salary:$24.43- $28.04 per hour plus 10.6 % in lieu of benefits. This position requires Union membership.


Duties and Responsibilities:



  • Provide duties related to program areas such as directing callers and providing information to clients, visitors and volunteers to the appropriate program or staff person. Provide up-to-date information pertaining to the organization, make referrals to other agencies if SHARE does not/cannot be of assistance.

  • Maintain a variety of financial records such as petty cash fund, purchase order, cheque requisitions, process incoming money, donation, and invoices as directed in program policies, this includes documentation, receipting and preparing bank deposits.

  • Provide clerical and administrative support to management and other program staff: arrange meetings, schedule appointment, book rooms for meetings.

  • Perform data entry functions such as inputting information into databases and contact lists; maintain and update files, inventory, mailing lists and/or other records either manually or electronically.

  • Work with staff members to design or adapt systems to improve efficiency/effectiveness and provide accurate record keeping.

  • Ensure confidential files are secure.

  • Keep the reception area, waiting room, therapy rooms and work areas clean and tidy in order to present a positive and professional image to the public. This includes cleaning therapy equipment and toys as needed.

  • Process incoming/outgoing mail

  • Ensure office equipment is in good working order and arrange for service and repair as required.

Qualifications Required:



  • Completion of grade 12 and a minimum of one-year administrative experience.

  • Excellent reception and client service skills.

  • Intermediate level of MS Office program and database systems.

  • Accurate keyboarding skills of 50 wpm

Required Knowledge, Skills, and Abilities:

  • Excellent inter-personal skills; telephone reception skills and a professional manner.
  • Strong organizational skills, able to follow through on procedures and use time effectively.
  • Good knowledge of standard office practices, methods, and equipment.
  • Excellent attention to detail, proofreading and organizational skills.
  • Excellent oral and written communication skills.
  • Ability to work independently and multi-task to meet deadlines.
