Order Processing Clerk
We are seeking a highly organized and detail-oriented Order Processing Clerk (or Order Management and Collections Clerk) to join our team in Caledon, ON. This full-time, in-office role will focus on full order cycle, managing billing processes, processing customer orders and providing exceptional customer service to a select group of our 3PL clients.

Responsibility:
- Update vendors with payment status as required.
- Contact assigned customers regarding overdue invoices
- Resolve invoices in dispute
- Recording all collection activities within CRM software and collections notes spreadsheet
- Application of customer receipts for assigned customers
- Application of credit cards and ecommerce receipts
- Follow-up on outstanding ecommerce issues
- Customer account reconciliations
- Answer phone calls on accounts receivable phone line and reception calls
- Issuance of credits for contracted customer allowances and deductions
- Communicating with customers through various channels and responding to email orders and confirmations
- Provide backup for the E-Commerce portals, ensuring all processing of orders, invoices, cancellations and changes are completed daily
- Provide warranty, product recall and replacement information quickly to the satisfaction of the customer.
- Review prepayment orders to ensure orders are paid promptly prior to release.
- Responsible for administrative processes and procedures pertaining to picking, shipping and receiving as it relates to the Distribution of shipments
- Responsible to monitor and print work orders to ensure orders are available to be picked and anticipated delivery dates are met.
- Regular communication with Customer Service to ensure any order specifications, modifications or status is clearly detailed.
- Review orders (shipped or pick-ups) and ensure work orders are printed for shipping to prepare for staging and/or loading as well as verifying on a daily basis that all scheduled orders are accounted for.
- Organize deliveries as required and provide all required delivery information and paperwork
- Responsible to review and close orders, print packing lists and ensure all paperwork is completed correctly.
- Schedule receiving and delivery appointments
- Other duties as assigned.
Requirements:
- 1 to 2 years of experience as an order management and collections clerk in 3LP or warehousing environment
- 1 to 2 years of experience in AR, billing, invoicing, and collection procedures
- 1 to 2 years of customer service and order entry experience
- 1 to 2 years of experience navigating customer portals to obtain information
- 1 to 2 years of experience with large retailers vendor portals an asset (i.e. Amazon, Home Depot)
- 1 to 2 years of experience using an ERP and CRM software. Microsoft Dynamics 365 is an asset
- Tech savvy and experience using Microsoft office, Microsoft Excel etc.
Hours of work:
- 8:00 am – 4:30 pm, Monday to Friday
