Job Summary
The Operations Coordinator is instrumental in ensuring the seamless and efficient execution of daily operations within Equium Group. This role entails the strategic management of schedules, coordination of cross-functional activities, precise data entry, support for project tracking, and diligent minute-taking to advance organizational objectives and enhance operational efficacy.
Key Responsibilities
- Scheduling: Formulate and maintain detailed schedules for team members, resources, and operational tasks to ensure timely completion and optimal resource utilization.
- Coordination: Serve as a primary liaison to foster effective communication and collaboration among departments, vendors, and stakeholders, ensuring alignment and streamlined workflows.
- Data Entry: Execute accurate input, updates, and management of data within organizational systems or databases, maintaining data integrity to support reporting and decision-making processes.
- Project Tracking: Assist the Projects Team in monitoring and tracking the progress of ongoing initiatives, updating status reports, identifying potential risks or delays, and ensuring adherence to project milestones and deadlines.
- Minute-Taking: Record accurate and comprehensive minutes during meetings, capturing key discussions, decisions, and action items, and distribute them promptly to relevant stakeholders.
- Prepare comprehensive operational reports, coordinate meetings, and manage logistical requirements to support operational processes.
- Identify and propose opportunities for process optimization, contributing to the implementation of efficient operational strategies.
- Ensure strict compliance with Equium Group’s policies, procedures, and applicable industry regulations.
Qualifications
- Demonstrated experience in operations, administrative support, or a comparable role.
- Post-secondary certificate, diploma, or higher in Business Administration, Operations Management, or a related field.
- Exceptional organizational and multitasking abilities, with meticulous attention to detail.
- Proficiency in scheduling tools, project management software (e.g., Asana, Trello, Microsoft Project), and data management systems.
- Superior communication and interpersonal skills to facilitate coordination with diverse teams.
- Capacity to prioritize tasks and perform effectively in a dynamic, fast-paced environment.
- Advanced knowledge of Microsoft Office Suite (Excel, Word, PowerPoint) and standard office technologies.
Work Environment
- Full-time position, operating Monday through Friday, with occasional availability required outside standard hours to support operational needs.
