The role: *Please note - this is a 9-month contract Opportunity*
The Mail Room Coordinator brings a strong commitment to exceptional customer service and meticulous attention to detail, ensuring consistently accurate and high-quality work. This role demands proven experience in a dynamic, fast-paced environment, along with a reputation for reliability and punctuality. You are a highly organized individual who takes pride in maintaining smooth operations and continuously strives for operational excellence and efficiency.
The core responsibility of this role is to manage the efficient and accurate processing of all incoming and outgoing mail and courier deliveries. This includes ensuring timely distribution to internal departments and verifying that each item reaches the correct recipient in accordance with established service level agreements (SLAs). Additionally, the role involves maintaining office printers by restocking supplies, performing routine cleaning, and conducting minor repairs as needed.
Key Responsibilities
- Welcome all staff to the Mail/Print Room with a smile in a timely and professional manner. Communicate with energy and personal confidence while presenting a polite, thoughtful, and friendly attitude
- Process tickets for all Mail/Print room requests and other Facility or Printer related requests in Service Now. Complete tickets ensuring maximization of productivity through effective use of standard operating procedures and defined SLAs
- Set up and operate mail equipment and courier software programs
- Following “chain of command” and secure mail handling SOPs:
- Open, log, sort and distribute incoming mail, courier bags and packages
- Prepare and log outbound mail, corporate courier, and individual couriers (Canada Post, Purolator, UPS, FedEx, mass mailing)
- Sort by priority ensuring high-value corporate assets are expedited for distribution
- Fill relevant details in distribution and shipping forms, providing accurate information to ensure that mail is delivered to the right locations and people
- Shipping / receiving dock – attend to calls to transport, open and receive and stock bulk shipments.
- Order corporate office supplies and stock all print areas with paper and office supplies
- Stock all CO printers with paper and supplies at a frequency which ensures they do not run out and stop print production throughout the day.
- Complete minor maintenance of CO printers by solving paper jams, placing service calls and routine cleaning
- Perform basic digital print production, copying and scanning jobs
- Maintain records for management reports and prepare monthly statistical reports.
- Maintain a clean and organized mail room and mail supply room
- Assist Print Specialist with the heavy copying and book binding
- Investigate, report, and resolve on lost or returned mail/courier shipments. Place emergency shipments as required.
- Hours of Work are 8:00 a.m. – 4:30 p.m. Monday to Friday
- Provide back-up support for Print Specialist, Concierge, Facilities Office Ambassador
- Support the Facilities Team to ensure precise and timely processing of invoices through the designated financial system.
- Perform other duties and special projects including but not limited to meeting and conference room set ups, building occupant moves, minor building repairs/clean up and furniture assembly, etc.
Knowledge, Experience and Skills
Knowledge
- College or University graduate of office / administration management studies preferred
- Safe operation of mail, postage metering and print room equipment
- Secure Safe Mail Room handling
- Basic accounting
- Two or more years of demonstrated exceptional customer service experience
- Minimum of 2 years of relevant mail room experience and training
- Service Desk and ticketing system experience is an asset
- Basic accounting knowledge is an asset
- Superior service orientation and customer focus
- Ability to communicate effectively and respond professionally to questions and requests from customers
- Ability to deal effectively and tactfully with a wide variety of individuals in person, via telephone, email, and Ticketing system.
- Demonstrates attention to detail and completeness
- Thrives in a fast-paced environment and when priorities compete, effectively prioritizes then moves will agility from one task to another
- Ability to communicate effectively and respond to questions and requests from customers and others.
- Strong general office operational knowledge and specific understanding of the organizational unit, its functions, products, and customer groups
- Punctual and reliable with ability to meet tight deadlines and schedules
- Integrity – ability to safeguard all confidential information.
- Ability to represent the Meridian and Facilities by always projecting a positive and professional image
- Proficiency in business software (mail / courier / print) and MS Office suite (Outlook, Word, Excel), is required
- Proficiency in Service Now is an asset
- Have valid driver’s license
- Ability to lift over 25 lbs.
- Position requires moving large and heavy objects, standing, lifting and repetitive movement.
Salary Range: CAD $45,000– $48,000 annually
Compensation for this role is based on a combination of skills, experience, and internal equity. Candidates with stronger alignment to the role’s requirements may be placed higher within the range. Your recruiter will share more information about our total rewards package during the hiring process.
Office Location: St. Catharines Corporate office. This is an on-site work opportunity.
