Our firm is looking to add a highly organized, detail-oriented and proactive Legal Assistant to provide administrative support to our team and assist with day-to-day tasks associated with family law cases.
The ideal candidate will play a key role in client communication, case management, file organization, and active involvement in the client onboarding and offboarding process. They will work closely with the legal team to assist in moving files forward, ensuring deadlines are met, and supporting the timely billing and collection of retainers and legal fees.
Key responsibilities and tasks
- Serve as the first point of contact for clients by phone or email, delivering professional and timely communication
- Establish and nurture customer relationships from the initial consultation through to the conclusion of their file
- Provide general administrative support to the team, with a focus on assisting the Managing Partner (e.g., managing calendars, tracking deadlines, scheduling meetings, filing, etc.)
- Maintain accurate, organized and up-to-date client records and documentation
- Review weekly reports of client billings and outstanding receivables, following up with clients regarding outstanding payments
- Enter bills, expenses, and client disbursements into accounting software; review and manage team dockets and timesheets to ensure billing is accurate, complete, and submitted on time
- Draft, under supervision, routine correspondence, letters, and legal documents
Qualifications
- Education: Legal assistant diploma or certification required
- Knowledge of family law procedures and court filing processes is a strong asset
- Proficient in Office 365 and legal software (e.g., DivorceMate)
- Understanding of billing systems and project management tools
- Excellent oral and written communication skills complemented by exceptional interpersonal skills
- Proactive and results-driven, with a client-focused mindset
- Fast learner with the ability to quickly to grasp new concepts and procedures
- Committed to providing excellent customer service
- Capable of handling sensitive and confidential information with discretion
- Comfortable working in a fast-paced, time sensitive environment
- Meticulous attention to detail and strong critical thinking skills
- Able to multi-task and prioritize work with excellent organization skills
