Position purpose:

The incumbent is responsible for actively supporting fundraising efforts and engagement outreach of the University. As an integral part of the Advancement team, the incumbent identifies and researches prospects and constituents, tracks movement through the donor cycle, analyzes key fundraising metrics as well as develops tools to make data visible and usable. This role will manage the process of sourcing, identifying, researching and tracking prospects and constituents in the database and provide training for the effective use of the system and reports.

In this role, you will:

  • Prospect management and research: Arranges individual and group meetings with Advancement staff and Senior Leadership, which includes Managers, Directors, Deans, the office of the Vice President (Advancement) and President, to review strategies for prospect and pipeline development. Conducts high-level prospect research and analysis activities and monitors pipelines to provide timely and accurate analytical information to advise staff on strategies to advance files. This will include advice and support for data requirements.
  • Pipeline Management and research: Tracks fundraiser activities and helps to move prospects through the pipeline phases. Uses research, data mining, and analytics, to identify new prospects to optimize the growth of pipelines.
  • Prospect and research management Tools: Develops and implements pipeline and prospect management tools to assist Advancement staff to keep a robust pipeline, which will inform staff of their targets and university-wide campaign goals. In combination, prospect research tools or databases will assist with tracking and generating prospects for the pipeline.
  • Training: Provides training support and troubleshoot questions for Advancement staff related to the coding of their pipelines, and the use of systems and reporting.
  • Reporting: Prepare various moderately complex reports, on a scheduled as well as ad-hoc basis, on the health of pipelines and prospect moves for advancement teams to provide recommendations to managers, directors and senior leadership. This includes, profiles, peer screening, and environmental scans. In that sense, the incumbent helps design analytical tools such as dashboards and performance indicator reports.
  • Records management: Implement and manage an effective filing and records management system to preserve the confidentiality of the records and ensure that complete and accurate documentation is available for future reference. Ensure data integrity of systems by running validation reports and flagging inconsistencies. Provides a regular mechanism for system improvements and modifications on tracking and reporting systems.
  • Continuous Improvement: Keeps apprised of emerging strategies on prospect research and pipeline management and identifies opportunities to integrate these strategies into the University’s advancement service and to standardize business processes.
  • Other related duties: Performs other duties in support of the University’s prospect management and research efforts as assigned.

What you will bring:

  • Degree in library sciences, information management, business or a related field, or an equivalent combination of education and experience.
  • Five (5) years of experience in advancement research, prospect management, fundraising, in higher education or non-profit environment.
  • Bilingualism – French and English (spoken and written).
  • Superior interpersonal skills, with proven ability to successfully collaborate with varied parties in a professional and diplomatic manner.
  • Demonstrated understanding of development and major gifts fundraising and how research and prospect management support development efforts as well as experience working with frontline fundraisers to evaluate moves management.
  • Strong analytical skills: able to influence, analyze and synthesize data and present findings that are clear and actionable to a variety of Advancement professionals.
  • Understanding of multiple screening strategies and methodologies, including data mining, segmentation, and analytics.
  • Ability to work independently and proactively, and function in a collaborative team environment, exhibiting self-reliance, and an ability to form effective working partnerships with colleagues.
  • Strong computer skills (word processing and database analysis) and ability to learn new systems quickly. Knowledge and advanced skills in Microsoft Office are strong assets.
  • Working knowledge of French and English, with fluency (written, comprehension and spoken) in at least one of these two languages
  • Familiarity with PIPEDA (Personal Information Protection and Electronic Documents Act) is a strong asset. The role requires the ability to use sensitive and confidential information appropriately.
  • Experience providing training to individuals and groups in both French and English would be a strong asset.
