Job Summary
We are seeking a highly organized and friendly Front Desk Receptionist to join our team at a busy day spa in Oakville. The ideal candidate will be the first point of contact for our clients and will play a crucial role in ensuring a welcoming and efficient environment. This position requires strong administrative skills, attention to detail, and the ability to manage multiple tasks in a fast-paced setting.
Responsibilities
- Greet and assist clients as they arrive at the office, ensuring a positive first impression.
- Manage phone systems, including answering calls, directing inquiries, and taking messages as needed.
- Schedule appointments and maintain an organized calendar for the office.
- Perform data entry tasks accurately, including patient information and appointment details.
- Maintain and organize files, both electronic and paper-based, ensuring confidentiality and compliance with regulations.
- Assist with spa duties including laundry or staff help
- Process client forms and ensure all necessary documentation is completed prior to appointments.
- Collaborate with therapists to ensure seamless patient flow and communication.
Requirements
- Experience with phone systems and customer service skills is essential.
- Excellent organizational skills with the ability to multitask effectively.
- Ability to maintain professionalism in a busy environment while providing exceptional service to clients.
