Responsibilities
- Work closely with the Fleet team & Delivery Drivers to ensure all relevant documents, administrative tasks and compliance items are completed and carefully managed
- Scan and add completed service orders to Fleet SharePoint
- Obtain license plates for new units, renew existing licenses, and cancel license plates for units transferred from other locations or provinces
- Manage various spreadsheets and reporting tasks.
- Oversee the tracking and maintenance of fuel cards, ensuring timely reordering when necessary
- Prepare and issue purchase orders in accordance with the approved budgets on servicing our fleet at vendors and project timelines.
- Organized and up-to-date records of purchases, pricing, and vendor contracts.
- Coordinate routine maintenance, repairs, and end-of-life disposal in compliance with company protocols.
- Support internal and external audits through asset reconciliation and reporting.
- IFTA Reporting -Under IFTA, interjurisdictional carriers report the amount of motor fuel consumed and the distance travelled in each jurisdiction.
- Upload information into Geotab – Enter vendor documents (Annual Truck Safety, B20 Inspections and MTO information). All servicing records.
- Update CVOR & MTO Registrations records.
- Update insurance records with drivers and fleet assets
- Monitors the frequency of breakdowns and maintains fleet maintenance record daily KIP Excel sheet
- Complete required paperwork utilizing fleet maintenance software program associated with repairing vehicles
- Maintains up-to-date files on all records, work orders, PO’s, invoices, DVIR’s, etc. on company trucks, trailers, and equipment.
- 3-5 years’ experience in office administration role, Fleet background an asset, but not necessary
- Knowledge of MTO & CVOR, EPA, and DOT Regulations applicable to truck and trailer repairs and maintenance
- Knowledge of truck mechanical and maintenance to service repairs.
- Knowledge of Geotab Platform and camera systems
- Knowledge of IFTA and reporting
- Experience with Excel and Spreadsheets
- 3-5 years of working experience in a fleet environment preferred
- High School Diploma/GED equivalent
