Position Overview
Summit Financial is seeking a detail-oriented and organized Financial Services Assistant to provide administrative and operational support to two of our Financial Advisors. The role supports day-to-day business operations in a professional and compliant manner, ensuring accuracy, timeliness, and adherence to established processes. Core responsibilities include client documentation updates, trade entry support, and general client service.
We are looking for someone who enjoys being client-facing—not someone who prefers to stay behind the scenes. The ideal candidate is enthusiastic, personable, and positive, with a natural ability to build relationships and contribute to a collaborative, team-oriented environment.
This position is designed with long-term development in mind and is well-suited for individuals with education and/or experience in financial services who are looking to grow their careers. We welcome candidates at different stages of their professional journey—whether you are already a licensed assistant with relevant experience or someone earlier in your career. For the right individual, we offer structured mentorship, training, and support to help you work toward becoming licensed and advancing within the financial services field, ideally within the next year.
Key Responsibilities
- Provide administrative support to Financial Advisors, including processing investment transactions, updating client records, and managing electronic documentation.
- Ensure all work is completed in accordance with Investia Financial Services’ compliance policies and regulatory standards.
- Respond to client inquiries in a timely and professional manner.
- Monitor and follow up on outstanding transactions and account transfers.
- Record all client communications accurately within the CRM system.
- Obtain and organize product information, quotes, and illustrations to support advisor planning activities.
- Coordinate with product providers and other third parties as required.
- Support additional duties, projects, or initiatives as assigned.
Qualifications and Requirements
- Minimum of 2 years' experience in an administrative or office support role, preferably within financial services or a related field.
- Educational background in finance is preferred.
- Strong organizational skills and the ability to manage multiple tasks and priorities effectively.
- High level of accuracy and attention to detail in data entry and document handling.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and the ability to work both independently and as part of a team.
- Professional demeanor and ability to maintain confidentiality at all times.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Interest in developing a career in financial services and pursuing relevant licensing.
- Candidates must be local residents or currently located within reasonable commuting distance, as relocation sponsorship or remote arrangements will not be considered.
Professional Development
This position includes structured training and mentorship opportunities, with the intention of supporting the successful candidate in obtaining their mutual funds license within the first year to year and a half of employment. For already licensed candidates, we offer a role that allows you to put your skills to use while continuing to grow within a supportive and professional environment.
Application Process
To apply, please submit your resume and a brief cover letter via Indeed. Only those selected for an interview will be contacted.
