The Opportunity
We are currently seeking an Executive Assistant to support members of Vale Base Metal’s Executive Leadership team. This is a permanent position located in Toronto, Canada.

As an Executive Assistant, you will be instrumental in supporting the leadership team’s effectiveness by acting as the liaison for internal teams and external stakeholders. You will manage the flow of information and requests with discretion, ensuring smooth communication and operational continuity.

You will also provide high-level administrative support, including drafting executive communications, preparing strategic reports, and coordinating complex schedules. Your proactive approach will help streamline decision-making and enhance executive productivity.

Additionally, in this position you will perform the following:
  • Coordinate executive calendars and logistics, managing meetings, conferences, and travel arrangements with precision and foresight.
  • Handle confidential correspondence and documentation, ensuring timely follow-ups and organized record-keeping with minimal supervision.
  • Support financial processes, including invoice management, vendor tracking, and budget monitoring throughout the fiscal year.
  • Prepare impactful reports and documents, integrating data across platforms and serving as a resource for advanced office technologies.
  • Facilitate high-level communications, engaging with senior leaders and external partners to ensure seamless information exchange across departments.

About You
Education:
  • Post-Secondary degree/diploma in Administrative or Business Studies or related discipline.

Experience:
  • Minimum of 8 years’ experience providing high-level administrative support in fast-paced, dynamic environments.
  • Proven ability to manage complex projects, prepare strategic reports, and contribute to governance-related activities.
  • Experience working with executive portals and governance documentation is highly valued, including meeting coordination and information management.

Skills:
  • Strong verbal and written communication skills, with the ability to engage effectively across teams and with external stakeholders.
  • Demonstrated discretion and professionalism in handling sensitive information and maintaining confidentiality.
  • Proficient in Microsoft Office Suite and SAP, with experience using a range of technologies to support executive operations.
  • Adaptable and emotionally intelligent, able to navigate shifting priorities and maintain composure under pressure.
  • Exceptional attention to detail in document preparation, scheduling, and communication, ensuring accuracy and consistency.
