PURPOSE

We are seeking a highly organized and detail-oriented individual to join our team as an Executive Assistant to the Chairman. The successful candidate will provide administrative support to ensure efficient and effective operation of the office as well as support organizational executives with other personal planning and scheduling requirements. The ideal candidate will have excellent communication skills, be organized and proficient in Microsoft applications to support various functions.

RESPONSIBILITIES AND PERFORMANCE STANDARDS
  • Collaborate closely with and support the Executive Chairman.
  • Establish and maintain relationships with key customers, suppliers, industry partners and internal partners.
  • Responsible for administrative tasks, such as calendar management, schedule meetings, prepare presentations and coordinate travel arrangements.
  • Arrange meetings as directed.
  • Prepare meeting agenda, organize meeting materials and records.
  • Prepare meeting minutes.
  • Conduct follow-up on action items.
  • Follow-up on the status of any outstanding projects or tasks.
  • Handle sensitive information in a confidential manner.
  • Perform other administrative tasks as assigned.
  • Frequent travel between Vancouver and Grande Cache.
QUALIFICATIONS
Education
  • Completion of Post Secondary Education Program, Administrative Education considered an asset.
  • 1 - 2 years experience as administrative assistant, executive assistant or project management skills considered an asset.
  • Fluent in English and Chinese Mandarin is required.

Knowledge & Skills
  • Proven experience as an administrative assistant or related role.
  • Strong communication and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and able to quickly learn new systems and software.
  • Ability to work independently and determine priorities under strict deadlines.
  • Skilled in coordination of schedules and meeting bookings.
  • Strong time management.

SALARY RANGE: $60 - $65,000 Annual Salary

WORK ENVIRONMENT


Hybrid work schedule will include remote work in Vancouver, and office work in Grande Cache, Alberta. Further details of the hybrid schedule will be discussed in during the interview.
