The Role: Events & Administrative Specialist
We’re looking for a proactive, detail-oriented, and creative problem solver to join our Central Operations team. As the Events & Administrative Specialist, you’ll take ownership of planning and executing events of all sizes — from large community gatherings to smaller workshops, training sessions, and professional booths at job fairs.
You’ll manage event logistics before, during, and after, ensuring every detail is professional, welcoming, and seamless. Beyond events, you’ll also play a key role in maintaining safe, functional, and inclusive shared spaces at Amal, and in providing operational and administrative support across all four streams: Employment, Industry Engagement, Wellness, and DEI.
This role is perfect for someone who thrives on structure, thinks two steps ahead, and cares deeply about quality, teamwork, and participant experience.
Key Responsibilities
Event & Space Operations
· Plan, coordinate, and deliver all aspects of events (workshops, sessions, meetings, employer events, DEI trainings, and large community gatherings).
· Handle setup and take-down, signage, supplies, catering, and tech to ensure smooth delivery.
· Manage space use and flow - including bookings, room cleanliness, and professional presentation.
· Troubleshoot day-of challenges calmly and effectively.
Pre-, During, and Post-Event Excellence
· Create checklists, timelines, and operational plans to anticipate needs in advance.
· Support speakers, facilitators, and team members during events.
· Ensure professional follow-up after events (wrap-up notes, evaluation, vendor communication).
· Capture lessons learned and recommend improvements for future programming.
Operational & Team Support
· Maintain a master calendar of events and activities across all streams.
· Use Asana and Outlook to manage workflows, checklists, and planning.
· Prepare materials for sessions, meetings, and outreach.
· Coordinate errands, supply pickups, and expense tracking.
· Communicate with vendors, community partners, and participants by email, phone, and text to ensure smooth logistics.
· Work closely as part of the Central Operations team, collaborating with program leads in Employment, Wellness, Industry, and DEI to align planning and maintain consistency.
About You
· You’re organized, reliable, and detail-driven - the type who thinks ahead and spots gaps before they become problems.
· You care about creating welcoming, high-quality experiences, whether for 10 participants or 200.
· You’re resourceful and creative - able to make things look polished and professional, even on a tight budget.
· You’re a strong team player and communicator, comfortable working with staff, vendors, employers, and community members.
· You value equity, access, and inclusion, and understand how logistics and space use shape safe, welcoming environments.
· You’re tech-comfortable and enjoy using tools like Asana, Outlook, Slack, Eventbrite, and Microsoft Teams.
Qualifications
· Degree or diploma in event management, operations, administration, or a related field, or an equivalent combination of education and at least 2 years’ experience in event planning, logistics, coordination, or operations.
· Experience supervising staff, volunteers, or vendors is an asset.
· Strong interpersonal, time management, and problem-solving skills.
· Comfortable working in a fast-paced, dynamic environment
· Lived experience as a newcomer or second-language speaker is a strong asset.
· Work environment: Hybrid role based in St. John’s, NL. Standard hours are Monday–Friday, 9:00–5:00, with the option of up to 2 remote days per week.
· Flexibility is essential: must be available to support programming during evenings and weekends, with advance notice.
· Valid driver’s license and access to a vehicle are required for errands, event support, and transporting supplies.
