About this Opportunity

The Acquisitions and Electronic Resources Unit works in an open-plan, staff-only workspace shared with other partner library units. Staff in the unit communicate with others face-to-face and electronically, in structured meetings and casually during the workday.

Job Summary

Under the direction of the Head, Acquisitions and Electronic Resources, and reporting to the Acquisitions and Electronic Resources Supervisor, the Electronic Resources Assistant supports all aspects of electronic resource management within the library, including establishing subscriptions, facilitating renewals with vendors and library consortia, processing invoices, arranging trials, and assisting with license management.

The Electronic Resources Assistant uses knowledge of the library’s collections, databases, and Library Management System to maintain the library’s access to electronic resources and to investigate and resolve access issues. This position communicates with vendors to help coordinate renewals, report access problems, and establish effective working relationships.

The Electronic Resources Assistant also contributes to maintaining the library’s databases list by writing resource descriptions, verifying access, and communicating within the library about resources. The position performs basic reviews of license agreements and updates license terms within the Library Management System.

The Acquisitions and Electronic Resources Unit is situated within the University of Victoria Libraries’ Collection Management Services Unit and is a highly collaborative and dynamic working environment that works with other units across the Libraries and directly with library patrons, University staff, and faculty.

Job Requirements

Experience:
This role requires a minimum of three (3) years of recent experience in a similar position, preferably in a post-secondary or institutional environment, or an equivalent combination of education, training and experience.

Knowledge/Skills/Abilities:

  • Ability to adapt to changing workflows, technologies, and library systems, including troubleshooting technical issues.
  • Ability to interpret and apply library policies and procedures.
  • Understanding of academic library collection management landscape.
  • Ability to interpret bibliographic records as they relate to ordering, claiming, and accessing materials.
  • Proficient in databases, search strategies, and efficient retrieval of relevant information.
  • Strong written and verbal communication, including professional correspondence and tailoring messages for different audiences.
  • Ability to work effectively in teams, maintain vendor relationships, and contribute to an inclusive, respectful workplace.
  • Skilled in using judgment, independent thinking, and analysis to resolve issues accurately and efficiently.
  • Ability to manage time, prioritize tasks, meet deadlines, and maintain accuracy with attention to detail.
  • Proficient in MS Office (especially Excel), budget interpretation, basic financial calculations, and handling sensitive information responsibly.
  • Experience working with Library Management Systems.
  • Experience with library resource procurement is considered an asset.
  • Awareness of electronic resource management and licensing is considered an asset.

Specialized Knowledge/Education:
Secondary school diploma or equivalent. Library Technician diploma or post-secondary education is an asset.
