Opportunity
As a member of the Donor Services team, the Donor Services Associate plays a key role in ensuring accurate and timely gift processing and data management, in line with donor designations, CRA policies, and internal procedures. This position is also an information resource for the Foundation and is responsible for triaging incoming inquiries to connect them to the appropriate staff member.
How You'll Contribute
Gift Processing
- Enter and reconcile donations in compliance with data quality standards, CRA regulations, and internal gift processing procedures.
- Manage the daily data entry inputs from various sources (online, offline, direct mail, third-party platforms), ensuring no duplication.
- Accurately create and maintain contact and account records in Salesforce.
- Update donor records based on returned mail and resolve data issues as needed.
- Draft and send donor correspondence, including thank-you letters, and rejected/declined payment notices.
- Review donation batches to ensure accuracy before issuing receipts.
- Prepare and mail donor receipts, printing and sorting with high attention to detail, from all relevant platforms.
- Maintain accurate supporting documentation on the shared drive for reference or audit.
- Support the creation and/or updating of procedure documentation as it pertains to everyday donor services procedures & tasks.
Bank Deposits & Cash Handling
- Open, date-stamp, and distribute all incoming Foundation mail.
- Handle and process cash, cheque, and credit card donations in compliance with information security and cash handling policies.
- Review & scan all cheques and backup documentation before preparing deposits.
- Contact donors to verify incorrectly addressed or misdirected cheques before depositing or redirecting.
- Prepare and balance daily bank deposits, separating items by gift type, campaign, or donor designation.
- Ensure deposits are prepared on time for pick up by a bonded courier and track confirmation slips to verify deposit accuracy.
- Ensure documentation accompanying all Event and 3rd-party Fundraiser proceeds is complete and accurate.
Administrative Support
- Sort and manage mail, including outgoing Foundation materials such as receipts, Philanthropy-led donor communications, and vendor-related packages or supplies.
- Support AGLC gift processing requirements by completing recipient forms in conjunction with ACF Governance & Board Liaison contact.
- Assist with triaging issues by identifying the appropriate internal resource(s) or stakeholder(s) for escalation.
- Manage document filing, retention, and transfer to long-term storage in adherence with document control procedures. Maintain and monitor office supply inventory related to donation processing and receipting.
What You'll Bring to the Team
- Some post-secondary education or related technical training is required.
- Minimum 2 years' experience in office or business administration, ideally within a nonprofit environment.
- Experience with CRM data entry is required, particularly managing donor records, gift entry, and reporting. Salesforce experience is preferred.
- Proficiency in Microsoft 365 (Outlook, Excel, Teams, Word) for communication, data handling, and documentation.
- Familiarity with CRA tax regulations and gift receipting rules for charitable organizations.
- Strong verbal and written communication skills.
