The Coordinator, Global Partnerships and Agreements, administer UBC’s international agreements cycle and stewardship in support of the University’s global engagement strategy and the priorities and goals of Faculties and the university. The Coordinator drafts, reviews, negotiates, and stewards agreements and is responsible for the ongoing development and implementation of process improvements. The Coordinator plays a key role in strengthening and maintaining relationships with internal stakeholders (ex. Legal Counsel, Senate, etc.) and partner universities and organizations worldwide.
Organizational Status
The position reports to the Assistant Director, Global Partnerships and Faculty Relations. The incumbent works closely with the Director of Global Partnerships, other members of the Global Partnerships team, as well as other staff members within the OGE who engage with our international partners. This position interacts with senior administration across the University and external organizations.

Consequence of Error/Judgement
Decisions made directly affect the effective and efficient operation of the OGE and potentially UBC's reputation. This position requires significant judgment, tact, discretion and initiative; poor decisions or lack of tact, diplomacy or sensitivity in dealing with external contacts could result in damaged relationships and loss of credibility for the University. Work is reviewed in terms of fulfillment of mandates and achievement of unit goals.
Supervision Received
The incumbent reports to the Assistant Director, Global Partnerships and Faculty Relations, but will at times take direction from other senior staff members within the OGE. The incumbent is expected to work independently with minimal supervision and to exercise tact and discretion.

Compensation Range

Job Summary
The Office of Global Engagement (OGE) leads UBC's diverse and complex international activities, advancing the University's international strategic priorities. The OGE is part of the Provost's and Vice-President Academic's Office. The OGE is a large and diverse portfolio, with a mandate that includes the curation of international partnerships and formal agreements for mobility and research collaborations. The OGE provides UBC's faculties and departments with the necessary resources to achieve their internationalization goals and create new opportunities to connect around the world. It provides strategic support to University leaders and faculty members, and acts as an important point of contact for institutions around the world.

Work Performed
Agreement Stewardship and Administration
- Establishes and renews a variety of agreement types through efficient workflow processes, including assessment, consultation, drafting and negotiating, internal review, finalizing and executing, monitoring and reporting
- Reviews and negotiates draft agreements, interprets contract terms and language, and provides detailed support to Assistant Director, Global Partnerships and Faculty Relations
- Communicates to the relevant University community when new/renewal agreements are executed
- Acts as a subject matter expert on international agreement types, classifications, templates and processes
- Researches, maintains knowledge and effectively communicates information related to University and partner policies and procedures, agreement administration best practices and common contract terms and language
- Leads the implementation of process improvement projects, ensuring efficient and effective agreement stewardship and administration. Develops and implements plans related to process improvement
- Manages special projects related to international partnership agreement administration and partnership building
Partnership Management and Relationship Building
- Manages OGE’s global partnerships tracking systems, which include relevant data and information about the University’s student mobility agreements, memoranda of understanding, and statements of cooperation with all global partner institutions. Responsible to provide oversight and direction to Administrative Support staff who support this work.
- Works collaboratively with members of the OGE Global Partnerships team to create and maintain a high standard of transparency and accuracy of all information related to the OGE’s role in managing global partnership agreements
- Employs strong intercultural communication skills to build and maintain effective working relationships with key contacts at partner universities/organizations and within the University
- Plays a lead client service role in responding to inquiries and information requests from partner universities and organizations and the University community
- Works closely with members of the Office of Global Engagement, as well as other University departments, to address partnership agreement questions and problem solve issues

Minimum Qualifications
- Undergraduate degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications
- Experience in working in an international environment is strongly preferred. Knowledge of international protocol matters is an asset.
- Direct experience with client relationship and/or records management software
- Contract/agreement review and negotiation experience highly desirable
- Progressive experience in a university environment preferred
- Project management experience
- Familiarity with student mobility programming a strong asset
- Excellent interpersonal and relationship-building skills are required, with proven strength in partnership management
- Exceptional intercultural communication skills with ability to apply diplomacy and tact while working with a variety of stakeholders from diverse backgrounds
