JOB PURPOSE
The Campaign Administrative Support is the main administrative point of contact for booking campaign resources. The successful candidate will have experience in basic office admin as well strong skills in organization and inventory control. Previous experience with United Way Campaigns is a benefit.
**This is a Temporary position which is scheduled to end December 19, 2025.
DUTIES & RESPONSIBILITIES
- Assists with coordination and booking of a high volume of corporate and individual engagement opportunities
- Takes a proactive approach to the booking process, addresses scheduling conflicts and changes. Ensure the process runs smoothly
- Liaises with external stakeholders (agencies, campaign volunteers, donors, etc.) and nurtures those relationships to identify, book and ensure successful engagement opportunities
- Maintains storage room and provides loaned reps with supplies as required. Tracks resources available and ensures stock levels are appropriate for upcoming events
- Ensures that information in the United Way database is correct and current
- Assists in maintaining (organizing, filing, & stripping) workplace account paper files
- Performs data entry into the United Way database. This includes data provided from Campaign Associates, Workplace Campaign Managers, account evaluations, and paper files
- Tracks scheduled campaigns against campaign list and follows up with unconfirmed campaigns
- Liases with external stakeholders in the coordination of workplace events and ensures needs (pledge forms, ePledge registration, event ideas) are shared
- Follows up with external stakeholders at the completion of campaign for feedback
- Liaises with other departments and United Way staff as required to obtain information to complete tasks
- Tracks and uploads data collected from engagement opportunities as required
General
- May participate in community engagement or fundraising activities
- Performs other duties related to the qualifications and requirements of the job
- Attend team meetings for team alignment and insights on campaign progress
QUALIFICATIONS & REQUIREMENTS:
Education:
- High school supplemented by business and technology courses related to office administration
Experience:
- Three (3) years’ experience providing administrative support
- Experience in the not-for-profit sector or similar organization is an asset
Skills:
- Highly organized with good time-management skills, including the ability to meet deadlines
- Process-oriented but ability to steward/nurture both internal and external relationships important
- Proactive and solution-focused
- Strong communicator
- High attention to detail and ability to learn new systems and tools
WORKING CONDITIONS:
- Ability to lift up to 20 lbs will be an asset for inventory management
- Schedule is Monday-Friday, 8:30am – 4:30pm, office attendance is required

This is a bargaining unit role with CUPE Local 1760. This position is at pay grade 26, which is $30.56 hourly.
Candidates must live within 60 KMs (commuting distance) from our office as office attendance is required.
