Duties and Responsibilities:
Bookkeeping duties:
- Ensuring finances are up to date, staff are paid in an accurate and timely manner, and vendors and suppliers are paid within established time limits.
- Accounting including accounts payable, bank reconciliations, financial statements, monthly and annual financial reports.
- Preparing and completing payroll, account reconciliations, and audits.
- Timely remittance of reports and payment to the Canada Revenue Agency including T4s and bi-monthly remittances.
- Accurately entering dues into membership database software.
- Processing and monitoring the union’s payments and expenditures.
- Monitoring and organizing standing contracts.
Administrative duties:
- Preparing, copyediting, and/or formatting documents such as bulletins, minutes, reports, correspondence, and collective agreements.
- Building and maintaining a filing system, both physically and electronically.
- Liaising with membership and executive board as well as health and welfare and pension plan administrators.
- Performing general office and reception duties (e.g. answering the phone, supporting members who attend the office, monitoring general email inbox, creating and maintaining forms etc.).
- Taking questions and concerns raised by members and escalating them to the appropriate person for response.
- Providing administrative support for shop stewards (e.g. maintaining up to date steward lists for various work sites, preparing information packages for new stewards, coordinating training for stewards etc.)
- Coordinating and organizing the logistics for meetings, conferences, workshops and trainings.
- Monitoring & ordering office supplies.
- Assisting union officers with special projects, emergency situations, and various research tasks as directed.
- Creating and maintaining the local’s social media accounts as directed.

Requirements:
- Minimum grade 12 education plus minimum 3 years experience in a similar role, or equivalent combination of bookkeeping education and experience
- Experience with QuickBooks and Simply Accounting.
- Able to proficiently use Microsoft Office Software (Office 365, Word, Excel, Outlook, and Power Point).
- Proficient with video conference software (Zoom, Teams etc) and member engagement programs and applications (e.g. Simply Voting, Survey Monkey).
- An ability to write clearly and copyedit a variety of documents.
- Strong ability to work independently, keep track of and adhere to time limits and deadlines, and organize work with and without direction.
- Organized with strong attention to detail.
- Excellent communication and interpersonal skills (written and spoken).
- Trade union experience is considered an asset and must have a demonstrated commitment to trade union principles.
Renumeration & working conditions:
Wages and working conditions are governed by the collective agreement between Marine Workers & Boilermakers Industrial Union Local 1 and MoveUp.
This position is four days a week, 7.5 hours per day with a half an hour unpaid meal break.
Workdays are Monday and Wednesday to Friday to start, but flexible in the future.
The workhours are 8:30 am to 4:00 pm, however, occasional evening hours may be required.
Full-time office attendance required.
