SUMMARY
The Billing Coordinator role accurately rates customer shipments. They make applicable adjustments to pro bills requiring corrections and respond to customers calling in as required.
PRIMARY RESPONSIBILITIES
- Responsible for the rating of customer shipments as assigned by supervisor.
- Maintain complete knowledge of all rating policies and procedures within the department including general traffic lane, weight category customers, special customer rates and discounts, third party billing, automatic rating procedures, E.D.I. shipments, interline shipments, consolidations, masters, applying extra or second delivery charges, different customer terms and requirements, etc.
- Provide quotes on any book rates to customers. Be aware of customer product requirements and Erb Transport requirements. Use the Solomon computer tool of customer rate quotations as required. Use guidelines set out for quotations of trailer loads. Pass on information to supervisor when more than book rates are required.
- Understand the potential in customer rate inquiries for future business growth.
- Understand equipment capabilities and capacities in order to quote accurate rates to customer i.e. Straight truck weights, variety of trailers, load to go (same day services) etc.
- Provide quality customer service by answering customer inquiries through email and phone, informing customer of rates, delivery service questions etc. Provide information to other departments and terminals when required.
- Understand the Customer Portals ie BluJay.
- Assist in the department's monthly clean-up of unrated pros. Responsible for reserving and voiding the number of required pro bill stickers needed for month end.
- All other duties as required.
- Proven computer and Microsoft Office experience is required.
- 6 months of relevant billing experience required.
- Accuracy and attention to detail; working in a fast-paced environment.
- Ability to meet deadlines and multitask.
- Team player with a positive attitude.
- Good communication and customer service skills.
- Geographical knowledge considered an asset.
- Proven mathematical skills considered an asset.
- Good understanding of Customer Portals ie BluJay considered an asset.
- Good understanding of Erb customer base considered an asset.
- Position based on 40 hours per week.
- Overtime may be required for vacation coverage etc.
