Position Overview

Join our dynamic team at Academy of Learning Career College as an Admissions Administrative Assistant. We are dedicated to helping students gain the skills and confidence they need to succeed in their chosen fields. As an Admissions Administrative Assistant, you will provide essential support to the Admissions team, ensuring smooth administrative operations, accurate record keeping, and excellent student service. This role is ideal for someone who is detail-oriented, organized, and passionate about supporting students on their educational journey.

Key Responsibilities

  • Application Support: Assist applicants with completing enrollment documentation and ensure all required forms are accurate and submitted on time.
  • Administrative Coordination: Provide day-to-day administrative support to the Admissions team, including scheduling appointments, preparing correspondence, and managing files.
  • Student Communication: Respond to inquiries via phone, email, and in person, offering information and guidance on admissions requirements and program details.
  • Record Keeping: Maintain organized, confidential student files and ensure accurate data entry in college systems.
  • Event Support: Assist with the coordination of admissions events such as Open Houses, orientations, and information sessions.
  • Campus Tours: Conduct campus tours for prospective students and families, highlighting key features of the college.
  • Marketing Support: Collaborate with the Marketing team by providing administrative support for promotional campaigns and events.
  • Client Service: Present a professional and welcoming image of the college in all interactions with students, families, and external partners.

Qualifications

  • Administrative Experience: Minimum of 1 year of experience in an administrative, clerical, or customer service role (education sector experience is an asset).
  • Education: Post-secondary diploma or certificate in office administration, business, or a related field preferred.
  • Communication Skills: Strong verbal and written communication skills in English; ability to provide clear, courteous, and timely responses.
  • Organizational Skills: Highly detail-oriented, with excellent time management and multitasking abilities.
  • Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with student databases or CRM systems is an asset.
  • Team Player: Collaborative mindset with the ability to work independently as well as in a team environment.
  • Customer Service Orientation: Friendly, approachable, and professional, with a passion for helping students succeed.
