As we continue to scale, we are looking for a proactive and detail-oriented Administrative Assistant to support our day-to-day operations and help keep everything running smoothly behind the scenes.
Role Overview:
Reporting to the Office Manager, the Administrative Assistant will play a key role in supporting daily office functions, coordinating with cross-functional teams, and maintaining efficient administrative processes in a fast-paced environment.
Key Responsibilities:
- Provide general administrative support to the office and management team
- Assist with scheduling, travel arrangements, and meeting coordination
- Maintain organized and up-to-date filing systems (digital and physical)
- Manage incoming correspondence and phone calls professionally
- Support onboarding processes and HR-related documentation
- Assist with payroll processing and maintain employee records accurately
- Provide basic finance and bookkeeping support, including invoice tracking and expense reporting
- Coordinate and communicate logistics needs, including container clearance, transportation, and customer deliveries, ensuring timely and accurate execution
- Support data entry, reporting, and document preparation
- Prioritize and manage tasks effectively in a dynamic, fast-paced environment
- Other duties as assigned
Qualifications:
- Previous experience in administrative or office support roles is preferred
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to multitask and manage time effectively
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to work independently and collaboratively within a team
