Position Summary :
The Volunteer Resources Associate is responsible for supporting the recruitment, training, and scheduling of volunteers across the organization. This role ensures effective communication across all teams, maintains volunteer records, and helps facilitate smooth delivery of volunteer programs. The Associate plays a key role in fostering a positive and supportive patient experience while ensuring an engaged volunteer team.
Responsibilities:
Volunteer Recruitment & Onboarding
- Assist with implementing strategies for recruiting qualified volunteers including creating and updating volunteer postings.
- Coordinate the screening of applications, schedule and conduct interviews, and coordinate the onboarding process of new volunteers.
- Organize orientation and training sessions for new volunteers.
Volunteer Coordination and Scheduling
- Assist with coordinating volunteer schedules and filling vacant shifts as needed.
- Communicate regularly with volunteers regarding shifts, updates, and opportunities.
- Monitor volunteer attendance and performance.
Record Keeping and Reporting
- Maintain accurate and up-to-date volunteer databases and files.
- Track volunteer hours and prepare reports on volunteer activities and impact.
- Ensure compliance with organizational policies and health regulations.
Communication and Program Support
- Respond to general inquiries regarding the Volunteer program at WRHN.
- Provide ongoing support, guidance, and recognition to volunteers.
- Communicate and follow up with new volunteers
- Work closely with Volunteer Resource team and direct or respond to volunteer needs/inquiries appropriately.
- Assist in planning and executing Volunteer Recognitions Events.
- Promote volunteer engagement and retention through effective communication and incentives.
Position Requirements:
- Completion of a two-year college diploma in Administration, Social Sciences, or Human Resources.
- Minimum of 2 years of relevant experience
- Previous experience in coordinating volunteer programs in the non-profit sector is an asset
- Experience in volunteer recruitment, engagement and retention is an asset
- Ability to plan, coordinate and evaluate programs
- Demonstrated ability to build relationships, foster collaboration, lead change, and introduce innovative approaches to volunteer management practices
- Excellent organizational and time management skills to manage competing priorities in a fast-paced healthcare environment
- Excellent listening, oral and written communication skills
- Knowledge of current legislation and best practices related to volunteerism
