Under the direction of the Associate Director, Sport Compliance & Student Support and working closely with the varsity programs, this position provides direct administrative support to Vikes Varsity and is a member of the greater Vikes Athletics and Recreation administration team. The Varsity Clerk provides front line customer service to Vikes Athletics & Recreation.
The Varsity Clerk may provide similar administrative or clerical support to other units, as required, to cover breaks or temporary periods of leave. This position is a key part of the Vikes Athletics & Recreation administrative team and is expected to provide excellent service to internal and external clients, to demonstrate effective administrative skills and a willingness to help ensure the departments goals are reached or exceeded.
While the Varsity Clerk’s primary responsibilities will be to Vikes Varsity, the Clerk may be required to work across department work units. Vikes Athletics and Recreation is a 7 day per week operation and operates evenings and weekends. The Varsity Clerk will be expected to work business hours Monday to Friday with occasional evening or weekend work as required by the operation.
Experience:
Minimum of two (2) years of recent experience in a similar position, preferably in a post-secondary or institutional environment or an equivalent combination of education, training and experience. Experience must include:
- Providing customer service
- General office administration
- Effectively navigating and using a variety of retail and office-related equipment, software and programs (point of sale, MS Office/Teams, databases, spreadsheets, etc)
Preference will be given to applicants with:
- Experience with UVic information systems
- Experience using Fusion Living Software
Knowledge/Skills/Abilities/Values:
- Highly service oriented with a willingness to assist in developing an environment of service excellence.
- Strong communication skills.

- Ability to maintain confidentiality.

- An ability to work both independently and as part of a team, with the capability to back up in other areas of responsibility as necessary.
- Flexible in adapting to changing work priorities and able to work in an environment with constant interruptions.
- Must be able to move boxes up to 30 pounds to support office operations and events/meetings.
Specialized Knowledge/Education:
- Strong comprehension and experience in Excel, Word, PowerPoint, and MS Teams.
- Knowledge of office administration best practices (financial administration/bookkeeping, purchasing, related policies/procedures, etc.)
