Position Purpose and Summary
This position supports the operational needs and specific projects of the People & Culture (Human Resources) team. This position may also take on specific projects as needs arise.
Key Areas of Accountability
Administrative Service and Support
- Provide friendly, efficient and confidential administrative service for the P&C Team, providing daily reception services by greeting walk-in guests and managing general phone line(s) and email account(s).
- Respond to, or redirect, general inquiries received by all channels of communication (i.e.) phone, email, fax, mail, walk-in, ‘chat’ etc.
- Coordinate events, meetings, interviews and supporting activities/materials as required.
- Coordinate and perform office administration activities including, but not limited to, collecting various correspondence from/for clients and/or P&C team members, ordering office supplies, processing invoices, assisting with contract coordination, and maintaining the general office spaces, printers, etc.
- Updating or creating resource materials, such as policies and procedures, including web-based references.
- Assist in the accurate and timely creation of employment verification letters.
- Assist in conducting regular audits and reports (monthly, quarterly, semi-annually)
- Provide administrative support in enhancing the People & Culture (HR) SharePoint website to provide easier access to resources and policies.
Onboarding and Orientation
- Prepare presentations and other documentation to support the onboarding and orientation of new employees to TWU.
- Provide administrative support for in-person orientations.
- Assist in onboarding new hires into ADP.
Specific Projects & General Team Operations
- Support with any special events People & Culture are responsible for.
- Provide administrative support to the P&C Leadership Team as requested.
Recruitment
- Assist in posting job openings on internal and external job boards, university websites, and various other recruitment channels.
- Review and screen candidate resumes and applications to identify qualified candidates.
- Conduct phone screens and provide detailed screening summaries to P&C Advisor and Hiring Manager.
- Schedule and coordinate interviews between candidates, hiring managers and P&C.
- Communicate with candidates to provide information about the recruitment process, interview status, and other inquiries.
- Help maintain candidate databases, ensuring that records are accurate and up to date.
- Provide support on various HR and recruitment projects as needed.
- Other duties may be assigned as needed.

Standards & Requirements
Education: University degree, in process, 3rd year or higher in a HR or Business Administration related discipline
Experience: Prior experience working in an office environment, preferred.
