Summary of the role
We are looking for a highly motivated Research Coordinator II (RC) to assist Dr. Alison Krentel (The Threads Lab, https://www.thethreadslab.org/) at the Bruyère Health Research Institute. Our research team is dedicated to programs aimed at controlling or eliminating neglected tropical diseases (NTDs) in Asia, Africa, and the Americas.
The Research Coordinator II will manage the operational and administrative aspects of the Threads Lab at the Bruyère Health Research Institute. This role is ideally suited for someone with strong project management, financial oversight, and lab administration and coordination skills. The RC-II will be responsible for the oversite of day-to-day project/program operations and development of research projects/programs in collaboration with the researcher. The RC-II has limited delegated financial signing authority for projects they oversee. They provide functional oversight of other staff but are not responsible for their performance. The Research Coordinator II must exercise judgment based upon thorough knowledge of procedures, guidelines and regulations.
Main duties and responsibilities
Financial Management:
- Perform monthly account reconciliation for all project cost centres in the lab
- Prepare quarterly and annual financial reports for submission to funders
- Forecast personnel costs and track expenditures against budgeted employment allocations for all staff
- Prepare reimbursement documentation for lab team members
- Process various lab payments and liaise with Bruyère’s finance team
Contracting and Compliance:
- Draft and manage contracts for partner institutions, consultants, and interns, including amendments and no-cost extensions
- Monitor contract deliverables and reporting timelines, and notify team members of upcoming reporting requirements
Ethics Board Submissions:
- Track ethics renewal timelines for all projects within the lab
- Prepare and submit documentation for research ethics board renewals, amendments, and other study-related updates
Grant Coordination:
- Manage the overall grant submission process, liaising with domestic and international collaborators
- Coordinate and compile required documentation for grants including CVs and supporting materials
- Prepare grant budgets and submit applications through portals such as ResearchNet, etc.
- Coordinate logistics for research projects, including plans for data collection and analysis, facilitate meetings, establish project schedules, timelines, and resources
Communications and Web Management:
- Manage domain registration, hosting, maintenance, and security for multiple lab websites
- Draft and publish website content and updates, coordinating with team members as needed
- Work with investigator and team to ensure a timely drafting and submission of publications, presentations and grants
- Provide support on the development and implementation of knowledge transfer
- Liaise with Bruyère’s printing department to produce promotional and study-related materials
Hiring and Recruitment:
- Coordinate the hiring process for new lab members, including preparing job postings, liaising with HR and research services, and posting roles internally and externally
- Screen applications, conduct interviews, and perform reference checks
- Liaise with BHRI administrative teams for onboarding
Project and Lab Management:
- Oversee the daily administrative operations of the lab, ensuring smooth coordination across multiple projects and stakeholders (both internal and external)
- Maintain and update a lab-wide calendar to track tasks, meetings, events, and deadlines
- Organize internal events including team meetings, lunch and learns, and lab social events, including planning, invitations, logistics, and catering
Additional duties may be added as per the lab’s evolving needs
Qualifications
- Graduate degree in health sciences or a related field is preferred
- Minimum 3 years of relevant project or lab coordination experience, including areas such as budget development and knowledge of granting agency requirements
- Strong background in financial tracking, budgeting, and reporting
- Experience with grant coordination and submissions
- Sound knowledge of research principles
- Fluent in French and English, an asset
