Position Overview:
We are seeking a professional and organized Temporary Receptionist / Administrator to support our administrative operations during a 3-month contract. This role is responsible for managing front desk activities, assisting with accounts receivable/payable processes, and providing general office administrative support within a manufacturing environment.
Key Responsibilities:
Reception & Front Desk:
- Greet and log all visitors, direct incoming calls in a courteous and professional manner.
- Coordinate incoming and outgoing mail and courier services (FedEx, Purolator, UPS).
Administrative Support:
- Retrieve invoices from courier portals and vendor platforms.
- Assist with purchase order revisions and administrative document updates.
- Maintain adequate inventory of office and kitchen supplies (Coffee); place orders as needed.
Accounts Receivable (A/R):
- Generate and print invoices based on packing slips.
- Verify invoice accuracy and email to customers through BMS.
- File and organize all A/R documents, including invoices, adjustments, and credit notes.
Accounts Payable (A/P):
- Enter supplier invoices into Visual ERP system.
- Maintain accurate records of invoices, packing slips, and supporting documentation.
- Process documentation for scrap parts and enter related credits.
General Office Maintenance:
- Maintain cleanliness of the coffee station, microwave, and shared machines.
- Provide basic support for internal activities and minor event coordination, as needed.
Qualifications:
- High school diploma or equivalent; post-secondary education in business or office administration is an asset.
- 2+ years of experience in an administrative or receptionist role, preferably in a manufacturing environment.
- Proficiency in Microsoft Office (Excel, Outlook, Word); experience with ERP systems (Visual) is an advantage.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities in a fast-paced setting.
Working Conditions:
- On-site role in a professional office within a manufacturing facility.
- Monday to Friday schedule; standard business hours.
