About the Role:
We are looking for a Receptionist / Administrative Assistant who will be the first point of contact for visitors and callers while supporting several departments including purchasing. If you're detail-oriented, proactive, and love keeping things organized, this role is for you.
Key Responsibilities:
· Greet walk-in customers and direct them to the correct department
· Answer, screen, and redirect incoming calls professionally
· Provide administrative support to the Procurement and Inventory teams
· Perform data entry, material transfers, and timecard entry
· Assist with invoicing
· Help the service department with estimates, creating purchase orders, and invoicing
· Schedule and coordinate subcontractor work
· Maintain accurate and organized electronic filing systems
· Print and distribute reports as needed
· Take clear, concise meeting minutes
· Order office supplies
Qualifications:
· High school diploma or equivalent
· Exceptional customer service and communication skills
· Proficient in Microsoft Word, Excel, and Outlook
· Experience taking meeting minutes is a strong asset
· Strong organizational skills and attention to detail
· Ability to handle multiple tasks under pressure
· Ability to maintain confidentiality and a professional demeanor
· Must be fluent in English (written and spoken)
