The Apollo Clinic, with busy multi-disciplinary practices in Abbotsford and Chilliwack, is looking for a full time medical office assistant in CHILLIWACK. The position offers you the opportunity to be part of a dedicated team of healthcare practitioners and staff who are committed to providing exceptional patient care in the Fraser Valley. The ideal candidates will work primarily in our CHILLIWACK Clinic (morning / afternoon / evening shifts). Hours could range from 25-35+ hours per week.
Responsibilities:
- Greet and check-in patients, ensuring a positive and welcoming experience
- Schedule appointments and manage the office calendar
- Assist with patient registration and insurance verification
- Maintain patient records and update information as necessary
- Process billing and handle payment transactions
- Coordinate referrals to other healthcare providers
- Ensure the cleanliness and organization of the reception and clinic areas including laundry, light sweeping,dusting, taking out garbage etc.
- Interacting with patients on the phone and in the clinic
- Taking payments
- Ensuring that the current clinic health and safety protocols are being followed
- Submitting extended medical billings--Blue Cross and eHealth
- Updating therapist schedules--break times, holidays, sick days, etc.
- Emailing new referrals to ICBC adjusters
- Calling ICBC for adjuster contact information for each patient
- Answering in-clinic Skype messages
- Calling late or "no show" patients
- Checking phone messages and returning calls
- Responding to therapists' needs / requests
- Cancelling and rescheduling appointments for therapists who are ill
- Filling open spots with wait list appointments
- Balancing end of day transactions
- Fulfilling other general office duties as assigned
- Covering shifts for colleagues who are absent due to vacations or illness
- Assisting practitioners in room set-up, clean-up etc.
Requirements:
- Excellent communication skills, both verbal and written
- Strong attention to detail and accuracy in data entry
- Ability to multitask and prioritize tasks in a fast-paced environment
- Familiarity with phone systems and handling high call volumes
- Strong computer skills (preference will be given to those applicants who are already familiar with the Jane clinic software program)
- Previous experience dealing with the public (preference will be given to those applicants with prior MOA / reception / secretarial experience )

- A willingness to learn new skills on an ongoing basis

- Must be willing to work Saturday mornings and weekday evenings until 7pm.
