As we continue to grow, we are looking for a driven and detail-oriented Purchasing Specialist to join our team and support our end-to-end supply chain operations.
Job Summary
Position: Purchasing Specialist
As the Purchasing Specialist, you will play a key role in developing and executing procurement strategies that ensure timely, cost-effective supply of materials to support our production lines. This role combines hands-on purchasing, vendor management, inventory planning, and cross-functional collaboration to meet business goals and support demand forecasts.
Responsibilities:
Demand Planning & Forecasting
- Develop and implement annual demand planning and purchasing strategies.
- Analyze historical data, production trends, and market information to generate accurate forecasts.
- Work closely with cross-functional teams (Production, QA, R&D) to align purchasing plans with demand and production schedules.
Procurement & Vendor Management
- Source and evaluate suppliers for both direct and indirect materials (ingredients, packaging, equipment parts).
- Negotiate contracts and pricing agreements to achieve cost savings and quality standards.
- Monitor vendor performance and manage supplier relationships to ensure reliability and compliance.
Purchase Order Execution & Inventory Control
- Prepare and process purchase orders in a timely and accurate manner.
- Monitor order status, expedite overdue items, and manage urgent/rush requests.
- Track inventory levels, manage replenishment needs, and ensure stock accuracy using ERP systems.
- Maintain and organize purchasing records and support audits as needed.
Record-Keeping & Reporting
- Maintain well-organized purchasing records, contracts, and supplier information.
- Provide timely and accurate procurement and inventory reports for internal stakeholders.
- Support audits and internal reviews by ensuring all documentation is complete and up to date.
Other Duties
- Ensure compliance with relevant industry regulations (GMP, CFIA) and internal SOPs.
- Support new product launches by sourcing and validating new materials.
- Perform other related duties as assigned by management.
Qualifications
Education & Experience
- Diploma or Bachelor's degree in Business, Supply Chain, or a related field.
- Minimum 1 year of demand planning experience; sourcing experience is an asset.
- Experience in the Natural Health Products manufacturing industry is preferred.
Skills & Attributes
- Strong communication, negotiation, and problem-solving skills.
- High attention to detail and strong data analysis capabilities.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficient in Microsoft Excel (VLOOKUP, Pivot Tables) and ERP systems.
- Bilingual in English and Mandarin or Cantonese (required).
