Tadpool Real Estate is hiring a Property Management Coordinator on behalf of a well-established private real estate company with a growing commercial portfolio. The Coordinator will play a key role in supporting daily property operations, ensuring tenant satisfaction, and maintaining organized records across multiple functions.

Position Overview
The Property Management Coordinator will report to the Director of Property Management and serve as the administrative and operational backbone of the team. This individual will coordinate service requests, manage tenant communications, organize lease renewals, and maintain digital records across key property functions. The ideal candidate is highly organized, detail-oriented, and comfortable juggling multiple priorities.
Key Responsibilities
- Respond to tenant requests and service calls promptly.
- Coordinate with internal teams or external contractors for timely resolution.
- Track and follow up on service calls, inspections, and maintenance documentation.
- Collect necessary certificates, reports, and related paperwork from contractors.
- Organize, monitor, and coordinate the full renewal cycle of residential leases.
- Maintain accurate records of utility invoices, service contracts, and renewal timelines.
- Update tenant and contract records in the property management software (past, current, and new tenants).
- Prioritize and schedule service requests, ensuring smooth day-to-day operations.

- Someone who is proactive with strong organizational skills.
- Detail-oriented with a high level of accuracy and strong follow-up skills.
- Comfortable doing data entry and other administrative tasks.
- Proficiency with Microsoft Office Suite (Outlook and Excel).
- Property management software (Yardi) a nice-to-have but not required.
- Experience in property management a nice-to-have but not required.

Work Arrangement

Job Types: Full-time, Permanent
Pay: $45,000.00-$55,000.00 per year
