Description
The Central Waitlist Management (FY25-26) initiative aims to digitally enable stakeholders at a provincial, regional and hospital level. Applying a user first approach, requirements will be developed throughout the duration of the initiative. The purpose of this request is to acquire a Sr. Project Manager for participating in the process of ensuring that goals and objectives specified for the project or program are accomplished in accordance with Ontario Health's established priorities, time limitations, funding limitations or other specifications.
The Project Manager will support in the successful delivery of Ontario Health projects, ensuring strong project communication, documentation and reporting throughout the project lifecycle projects.
Must haves:
- Minimum 8-10 years' project management experience working in electronic health-related projects in Agile environment.
- Experience working with Microsoft products, with a preference for candidates that have experience with Microsoft based cloud tools.
- Excellent communication skills both verbal and written, and strong stakeholder engagement skills
- Time Management, with the ability to manage tight deadlines and prioritize multiple projects
- Experience working with Business, Technical, Architecture, Privacy, and Legal stakeholders
- Knowledge of Healthcare Information Systems used throughout the province of Ontario
- Experience with working on a digital product development, health system business implementation and deployment projects
- Project Management Professional Certification (PMP)

- Effectively manages large project budgets and ensures a high level of fiscal control and accountability including estimates, forecasts and reconciliation/confirmation of actuals
- Proactively identifies potential risk events and issues before they occur so that proper mitigating strategies can be developed
- Articulates and prioritizes issues and risks at senior executive levels and recommends mitigation strategies for decision makers
- Establishes and participates in steering committee and stakeholder forums
- Provides, project, program, and/or portfolio reporting to multi-stakeholders at senior executive levels
- Uses appropriate strategies and actions to overcome resistance to change and capitalize on forces in support of change during all stages of projects â concept, definition, planning, implementation and close-out
- Promotes Ontario Health standards and best practices for project management to facilitate control of system quality, adherence to standard methodology and the control of the use of resources
Desirable Skills:
- Knowledge and understanding of Project Management's Institute's Project Management Body of Knowledge
- Knowledge and understanding of Information Management principles, concepts, policies and practices
- Knowledge and understanding of Accessibility for Ontarians with Disability Act (AODA) and related regulations and standards
- Ability to make recommendations on the acquisition of software, hardware, and technology resources
- Experience managing and coordinating project monitoring, anticipates and troubleshoots issues, provides ongoing expertise, resolves problems and provides project effectiveness
- Ability to identify conflict between project and functional areas and develops responses to successfully address conflict
- Ability to handle client relationships to manage expectations, provides updates as required, identifies potential conflicts between project and functional areas
Evaluation Criteria:
- Minimum 8-10 years' project management experience working in preferably with digital health-related projects: 25 points
- Minimum 5 years project management experience in complex healthcare solutions involving Business, Technical, Architecture, Privacy, and Legal stakeholders: 35 points
- Proven ability to lead and liaise with senior leadership on project deliverables and timelines, coordinate risks and issues, and communications: 20 points
- Project Management Certification (i.e. PMP): 10 points
- Familiarity with legislation applicable to healthcare organizations such as PHIPA: 10 points
Total Capabilities Evaluation Criteria: 100 Points
Knowledge Transfer Details:
- The resource will ensure full knowledge transfer is provided to the Ontario Health team before end of engagement. Some of this might occur at the end of the engagement but will also be shared as information is obtained/consolidated. Key deliverables will be shared with team.
- The resource must provide all related documentation as part of Knowledge transfer protocol. Documents will be reviewed by the appropriate leads and signed off by manager/director.
- The resource will work collaboratively with the Ontario Health team throughout the assignment and ensure key deliverables, milestones, and documentation are shared.
- A walkthrough of any demos, development, etc. will be required before the end of the engagement.
