As we continue to grow, we’re looking for a versatile and detail-oriented Project Financial Administrator to join us in a dual role that supports both project administration and financial operations.

The Role

This hybrid role blends the organizational, administrative and logistical skills of a Project Administrator with the financial accuracy and reliability of an Accounts Payable and Receivable Specialist. The Project Financial Administrator will provide administrative support to project teams while handling the day-to-day processing of accounts payable and receivable.

Key Responsibilities are:

Project Administration

  • Record and transcribe accurate minutes from meetings, ensuring timely distribution and follow-up
  • Assist in developing and maintaining project schedules, tracking milestones and deliverables throughout the project lifecycle, report on project progress
  • Collect, analyze, and organize project documentation, including photographs, data, and daily/weekly reports
  • Perform data entry and convert raw data into actionable insights for reporting and presentations
  • Provide day-to-day administrative support and complete additional tasks as assigned
  • Maintain confidentiality of all sensitive and proprietary information
  • Prepare project close-out documentation and assist in demobilizing and archiving records

Accounts Payable

  • Review, verify, and accurately code vendor invoices
  • Match invoices to purchase orders and resolve any discrepancies
  • Prepare and process payments via electronic funds transfer or cheques
  • Maintain accurate and up-to-date vendor records and contact information
  • Respond to vendor inquiries promptly and maintain professional relationships
  • Ensure proper documentation is in place and retained for audit purposes

Accounts Receivable

  • Generate and send customer invoices in a timely manner
  • Record incoming payments and reconcile deposits with bank statements and financial records
  • Monitor outstanding receivables and follow up on overdue accounts
  • Maintain accurate and current records for audit and reporting purposes

General Support

  • Assist with the preparation of monthly financial and project-related reports
  • Ensure proper documentation is retained for audits and internal reviews
  • Support both Finance and Project teams with administrative tasks as needed

What Success Looks Like

As the Project Financial Administrator, success will be measured across five key areas:


  • Project Administration. Effective and timely project administration, with up-to-date schedules, clear meeting documentation, and consistent follow-through on stakeholder concerns. Project documentation (data, reports, photos) is well-organized, complete, and accessible, and raw data is effectively converted into actionable insights and reports.
  • Financial Accuracy and Timeliness. Invoices are generated and processed accurately and on time. Payment are recorded and reconciled accurately, and payment cycles are met consistently (EFTs and cheques). Discrepancies are identified and resolved quickly and professionally. Records are complete, organized, and audit-ready
  • Administrative and Organizational Efficiency. Demonstrating administrative efficiency through accurate, well-prepared reports, presentations, and business documents, as well as the reliable completion of day-to-day responsibilities with minimal supervision.
  • Stakeholder Satisfaction. Strong collaboration with internal teams, vendors, and clients—Project stakeholders are well-informed and supported through clear, consistent communication
  • Collaboration and Reliability. Responds effectively to internal and external requests. Balances priorities and meets deadlines with minimal supervision. Contributes to a positive, team-oriented environment. Demonstrates initiative and willingness to support evolving project and finance needs.

Physical Requirements

There are several physical requirements necessary for this role, including:

  • Prolonged periods of sitting
  • Repetitive movements
  • Repetitive tasks
  • Artificial light
  • Musculoskeletal injury potential or exposure
  • Moderate noise exposure (ie. Business office with computers, phone, printers, etc)

What You Bring

The Project Financial Administrator brings a proven ability to manage multiple tasks and deadlines in a fast-paced environment without compromising accuracy. In addition, this role requires:

  • 2+ years of experience in a clerical, administrative, or finance role with AP/AR responsibilities
  • Post-secondary education or diploma in office administration, business, or accounting
  • Strong proficiency in Microsoft Office (Excel, Word, Outlook); experience with accounting or project management software is an asset
  • Excellent organizational skills and strong attention to detail
  • Clear and professional communication skills, both written and verbal
  • Experience working in a project-driven or construction-related environment is an asset

Please Note: This position is located in an area not served by public transportation. A valid Class 5 driver’s license and access to a reliable vehicle are required for commuting to and from the office.
