Accountabilities: How You Will Make an Impact

We are looking for a Project Assistant with proven business experience to join our dynamic projects team reporting to the Internal Project Controls and Proposals Manager. This role will support our tendering for larger and more complex projects.

General Accountabilities

  • Support Project Managers with project administration including invoices for service agreement and non-service agreement work.
  • Provide clerical /administrative support to the group including but not limited to:

Bidding
  • Assist in identifying tendering opportunities through interfacing with the client-specified databases and in preparation and delivery of Kinectrics proposals/TOQs.
  • Ensure TOQs, proposals and tenders are delivered on time and are of the appropriate quality (meets customer needs and specified requirements).
  • Interface with clients regarding Requests for Proposals, Requests for Quotation, Requests for Tender, etc. and support Project Managers in negotiating contracts for people and services required by the company.
  • Maintain up-to-date proposal templates for use by Kinectrics staff.

Project Execution/Monitoring
  • Support Kinectrics Project Managers with invoices for service agreement and non-service agreement work in a timely manner.
  • Update and project plans and prepare financial summary reports using SAP.
  • Prepare, monitor, track and close purchase orders and subcontracts with suppliers.
  • Maintain purchase orders received from clients for Kinectrics.
  • Interface with Kinectrics project managers by tracking progress of projects.
  • Prepare summary of status of all service and non-service projects for Portfolio Managers.
  • Maintain project closure process.
  • Assist Project Managers, as needed, in preparation of quotations in Toolbox/SAP, providing guidance on project management using SAP, and providing information on Kinectrics business processes.
  • Prepare, implement and monitor schedules consisting of but not limited to: critical path, cost loading, Earned Value Analysis (EVA), schedule content, relationships and logic ties, constraints, milestones and codes.

General Duties
  • Support Kinectrics Directors/VPs with work program development, work program maintenance, and project budget tracking and cost control.
  • Understand and support management with project risks.
  • Report on progress of TOQs/ Proposals to Internal Project Controls and Proposals Manager and customers.
  • Provide support to marketing initiatives as needed.
  • Retain historical information for cost and schedule impact analysis for future work.

What You Need to Succeed

  • Completion of secondary school plus additional specialized courses related to business administration or 4 years university degree.
  • 3 years of related business administration experience or equivalent advanced education.
  • Are responsive, professional and accurate when communicating with internal and external contacts.
  • Requires proficiency in written and verbal communications.
  • Strong computer skills in software packages such as Microsoft Word, Excel (including creation and use of macros, pivot tables), Access, Visio, Project, Power Point, SAP, Toolbox, Primavera P6 etc.
  • Some experience in cost and scheduling analysis, planning, including estimating.
  • Experience with cost and scheduling programs.
  • Extensive SAP knowledge and experience.
  • Can work independently and in a project team environment.
  • Able to prioritize a large number of brief tasks.
  • Demonstrated strong time management skills.
  • Attention to detail which will contribute to error-free, high-quality reports, documents and communications.
  • Ability to work in a confidential capacity and handle sensitive material.
