POSITION SUMMARY
We are looking for a resourceful individual who has great attention to detail and is interested in being a supportive team member with a quickly-growing Company. The Project Assistant is responsible for providing administrative support to the Project Manager(s) to create, submit, file, and organize all project documentation and other related drawings, records, reports, meeting minutes, and correspondence. This role will keep the project organized by providing follow-up, client correspondence, and maintaining a flow of formal communication as required by the project. The Project Assistant will perform an array of tasks to support site resource requirements and may also support other teams within the home office or perform other clerical tasks as required.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Assist with all administrative functions related to the project
- Manage correspondence through Submittals, RFI’s, and Letters between FMI, Clients, and subcontractors, including keeping related logs up to date for status reporting
- Filing and logging of project drawings
- Assist with change management tracking of daily T&M work, keeping related logs up to date for status reporting
- Assist with procurement, gathering quotes from vendors, and issuing Purchase Orders based on quotations
- Draft Progress Payment Estimates (PPE’s)
- Investigate issues with project related invoices as requested by the Project Manager
- Attend meetings to take comprehensive minutes and represent FMI in a professional manner
- Assist with assembly of O&M and turnover packages including follow up with vendors, and packaging for submittal
- Manage travel and accommodation arrangements for project personnel
- Manage multiple priorities ensuring all administrative deadlines and paperwork submission is complete
- Create job start-up binders for Site Supervisor at mobilization
- Display effective and efficient communication with the Project Manager, Director of Project Management, Site personnel, Vendors, FMI Head Office Personnel, and the Client
- Speak confidently and knowledgeably on the on the status of the project administration
- Perform other miscellaneous job-related duties as assigned
- Keep positive attitude in all aspect of the work environment
- Manage multiple priorities, and being able to shift between priorities through-out the completion of tasks
EDUCATION, EXPERIENCE AND CREDENTIALS
- Office Administration Certificate or relevant experience.
- 3 years in an administrative role.
- Able to manage multiple priorities.
- Able to keep calm and positive in stressful situations.
- Proficient in the use of all Microsoft Office Software.
- Participation in a team environment
- Self motivated, and driven to improve processes and procedures
- Ability to navigate and administrate company and client databases
Job Types: Full-time, Permanent
Pay: $22.00-$25.00 per hour
