The Resource Centre for Suicide Prevention (RCSP) is seeking a highly organized and detail-oriented individual to join our dynamic team. As Programs Assistant, you’ll be the welcoming face of our office, a key part of the organizational backbone behind our programs, and a vital support to the team working every day to promote mental wellness and suicide prevention in our community.

Key Responsibilities
Administrative Support
- Greet and welcome visitors, participants, and community members in a professional and compassionate manner
- Manage phone, email, and in-person inquiries
- Maintain office supplies/equipment, inventories, shared calendars, and filing systems
- Prepare agendas, minute-taking, and logistics for meetings
- Help keep our website and community resource listings current
- Keep common spaces functional and inviting
- Assist with processing invoices and incoming cheques
- Assist with accounts payable and financial reporting when required
- Support planning and logistics for major fundraising events
- Assist with event coordination
Program Support
- Prepare packages and logistics for training sessions, support groups, and workshops
- Track registrations, attendance, evaluations, and certifications
- Assist with social media and promotions
- Help coordinate materials for community booths /trade shows, and special events
- Track promotional materials/items
- Provide information, support, and referrals (with appropriate training)
Qualifications and Core Competencies
- Certificate or diploma in Office/Business Administration; a combination of relevant experience and education will be considered
- Minimum of 2 years of experience in an administrative support role
- Experience in bookkeeping is an asset
- Demonstrated ability to provide professional and compassionate service in person and over the phone
- Strong proficiency in Microsoft Office, Google Workspace, and online tools
- Experience with accounting software (e.g., Sage) is an asset
- Excellent interpersonal and organizational skills
- Ability to manage sensitive information with discretion
- Skilled in creating and managing tracking systems
- Ability to manage multiple priorities in a fast-paced environment
- Highly detail-oriented
- Flexible and responsive to the evolving needs of a small team
- Willingness to work in a trauma-informed, mental health-focused setting
- Occasional evening work may be required
- Certification in ASIST is an asset (training will be available)
- Valid driver’s license and access to a reliable vehicle
- Criminal Record Check and Child Intervention Check
