Job Summary
UBC Health has a mandate to facilitate interprofessional education and interdisciplinary research initiatives that enhance the ways we train people, develop knowledge, and shape policy, seeking to address inequities and improve the systems that produce health. It advances these aims by promoting and facilitating equitable collaborations across disciplines and faculties, as well as with communities, institutions, and government organizations around the province. UBC Health operates through the Office of the Vice-President, Health, with team members working across the province. The Program Coordinator facilitates the development, delivery, and evaluation of interprofessional collaborative health initiatives and the expansion of interprofessional education to the distributed sites. The Program Coordinator supports initiatives in each of the regions where health professional students are trained – Vancouver, Prince George, Surrey, Victoria, and Kelowna.

This role requires project management and coordination skills to facilitate initiatives that foster interdisciplinary collaboration. Initiatives in UBC Health’s education core area include building and sustaining collaborations among UBC Health faculties, departments, and schools, emphasizing community engagement and innovation; and facilitating the development and delivery of central and regional approaches to interprofessional learning. The position also requires considerable judgment and problem-solving skills to develop approaches and techniques to achieve strategic goals and objectives. Leveraging strong organizational and communication skills, the incumbent will ensure that all project activities are executed following timelines, budgets, high standards of quality and ethics, and emerging best practices for partner, patient, and community engagement and relationship management.

Organizational Status
UBC Health is responsible for driving the vision of the Vice-President, Health portfolio by promoting an integrated approach to collaboration amongst all health programs at UBC and with external partners in the health sector. UBC Health serves as a resource to all health disciplines at UBC Vancouver (UBCV), UBC Okanagan (UBCO), and at distributed sites in Prince George, Victoria and Surrey where UBC health professional students are trained. The Program Coordinator will manage projects at different sites across the province. The position reports to the Assistant Director, Education situated in UBC Vancouver. The incumbent works in close collaboration with other members of the Office of the Vice-President, Health in UBC Vancouver and other sites across the province, with faculty and staff members from various academic units, and with partners internal and external to UBC. The Program Coordinator is a full-time 2-year term position, with possibility of renewal upon evaluation. The incumbent may be located in the Lower Mainland or at a UBC distributed site (Prince George, Victoria) and will be expected to travel to Vancouver, Prince George, Surrey, Victoria, and Kelowna regularly.

Work Performed
  • Manage strategic activities that contribute to the expansion of interprofessional education (IPE) in the distributed sites
  • Coordinate the development, integration, delivery, evaluation, and communication of UBC Health education initiatives at sites across the province
  • Collaborate with regional IPE committees to align core learning objectives and identify flexible IPE approaches across regions, ensuring consistency while accommodating regional differences
  • Actively contribute to the management of full project cycles, identify work priorities for projects, set timelines, monitor budgets, and ensure project objectives and deadlines are met
  • Facilitate the creation of project proposals and plans in consultation with the UBC Health Education team, program partners, and interest-holders
  • Create and maintain comprehensive project documentation, reports, and financial summaries
  • Conduct needs assessments, environmental scans, and literature reviews to inform IPE initiatives
  • Plan and manage various project pilots and events, including coordination and communications with the UBC Health Education team and health programs at distributed sites
  • Implement program assessments and evaluation frameworks for regional IPE sessions, ensuring feedback is collected to improve future initiatives
  • Prepare reports and presentations to effectively communicate project details and outcomes to program partners and interest-holders
  • Contribute to the development of a communications plan to disseminate evaluation findings and recommendations regarding regional IPE approaches
  • Build on and enhance existing UBC Health processes and structures to better support the delivery of IPE, align the mandate of UBC Health at distributed sites, and facilitate collaboration across programs and campuses
  • Identify, map, and develop resources (e.g. guidelines, processes, systems, technology, staffing, relationships) in each region that will support the development and delivery of IPE
  • Provide planning and administrative coordination to regional IPE committees and working groups
  • Develop and facilitate processes and structures for effective UBC Health engagement with distributed sites, patient partners, and communities
  • Plan and coordinate project team meetings and related activities, including development of materials and use of collaborative tools
  • Research and identify potential funding sources
  • Contribute to the development of grant applications, reports, ethics applications, and other written materials
  • Establish and maintain effective working relationships with various faculties, schools, and departments with a commitment to the integrated collaborative nature of UBC Health
  • Act as a liaison between distributed site activities, UBC Health, and centralized program decision-making
  • Build and maintain relationships to strengthen existing collaborations with UBC Health program partners and partners at other post-secondary institutions
  • Collaborate with health system, patient partners, community, and Indigenous interest-holders to inform program development and implementation
  • Incorporate principles of equity, diversity, and inclusion at all stages of project development and delivery, and in engagement with UBC Health partners
  • Perform other related duties as required

Consequence of Error/Judgement
This position is required to exercise professional judgment and initiative while undertaking all responsibilities and developing relationships. The work involves building and maintaining equitable relationships with internal and external partners, including actively seeking and valuing collaboration with Indigenous partners, and patient and community organizations. It requires attention to real and perceived barriers to meaningful participation, including tokenism, power dynamics, stereotyping, systemic racism, exploitation, and other inequities. The incumbent must understand and exercise the principles of confidentiality and best practices for Indigenous, patient and community engagement, including continuous learning and adapting these practices to ensure they are respectful, inclusive, and equitable. Inappropriate actions, errors in performance or indiscretions in judgment can have a negative impact on the Office of the Vice-President, Health and UBC, and may result in legal action, negative public relations, financial repercussions, and loss of credibility in the Office's ability to demonstrate value in the areas of collaborative health education, research, and systems.

Supervision Received
Reports to the Assistant Director, Education. The incumbent must be self-directed and able to manage and work independently, must identify circumstances that require consultation with appropriate colleagues, and seek out that consultation in a timely and professional manner. Work is reviewed periodically to assess performance and ensure completion of project milestones.

Supervision Given
May assign work to support staff and Work Learn students at UBC Vancouver when needed.
Minimum Qualifications
University degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications
  • Undergraduate degree in education, health sciences, or other relevant field.
  • Relevant experience planning, coordinating, and/or supporting the delivery of educational programs for post-secondary students an asset.
  • Experience with UBC policies and procedures.
  • Experience in project management and/or coordinating projects involving multiple stakeholders.
  • Demonstrated skills in critical thinking and analysis related to strategic planning and project management.
  • Ability to develop, plan, coordinate, and manage initiatives involving multiple stakeholders and within allocated time and resources.
  • Experience with Indigenous health practices and/or fostering community partnerships.
  • Ability to develop, implement and improve procedures regarding educational activities.
  • Ability to think conceptually (i.e. use creative, conceptual, or inductive reasoning or thought processes to identify patterns in complex data, and identify key or underlying issues in complex situations).
