Position Overview
We are seeking a proactive and highly organized Production Scheduler & Coordinator to support our growing operation. This hybrid role is essential to ensuring signage projects move smoothly from planning through production to installation.
In this role, you’ll be the key link between our project managers, designers, production team, installers, suppliers, and clients, ensuring jobs are scheduled efficiently, deadlines are met, and resources are allocated properly. Your ability to anticipate needs, resolve conflicts, and communicate clearly will directly impact both customer satisfaction and our operational success.
Your primary focus will be production scheduling: creating and managing the daily, weekly, and monthly workflow for our shop and field crews. You’ll balance staffing, equipment capacity, material availability, and job timelines to keep projects on track.
You will also support our Sales and Project Management teams by coordinating job details, tracking progress, and ensuring every project is delivered on time and to spec.
This is a fast-paced and hands-on role offering variety, autonomy, and the opportunity to make a visible impact in a dynamic production environment.
Key Responsibilities
Production & Installation Scheduling (Primary Focus)
- Develop and manage production and installation schedules using task management software (e.g. Trello)
- Evaluate customer orders, deadlines, shop capacity, inventory, and staff availability to optimize workflow
- Monitor job progress daily and adapt schedules in response to changing priorities, equipment downtime, or supply delays
- Communicate proactively with production teams, installers, project managers, and designers to ensure alignment
- Perform material checks and basic inventory reviews to inform scheduling decisions
- Identify opportunities to improve scheduling efficiency, reduce redundancy, and streamline operations
Coordination (Secondary Focus)
- Support Project Managers with execution of signage jobs from approval through installation
- Help assign tasks and coordinate internal teams to meet project milestones
- Assist with procurement of materials, permit applications, or site readiness planning
- Track job progress, flag challenges, and collect key performance data for review
- Liaise with project leads and installers to ensure field readiness and documentation are in place
Your Skills and Experience
- 3+ years of experience in scheduling, production coordination, or project coordination (signage, manufacturing, or construction experience is a strong asset)
- Strong organizational and time management skills
- Proven problem-solving ability and adaptability under pressure
- Excellent communication skills (both written and verbal)
- Proficiency with scheduling or project management tools (e.g., Trello, Google Sheets, etc.)
- Experience with lean manufacturing or process improvement is an asset
- Familiarity with sign production or installation processes is helpful, but not required
- Comfortable working cross-functionally with production staff, installers, designers, and project managers

Location and Hours of Work
- This full-time position is based out of our shop at 1624 Michael Street in Ottawa.
- The role is scheduled to work on a five-day, 40 hours a week basis. MMS offers flex time allowing the successful candidate to start their workday anytime between 7:00 and 9:00 a.m.
